I have paid for items that are used for the business. I’ve processed the receipts but how do I take the money out of the business account and account for it?

Let me guide you on how to take the money out of the business and account for it. 


When you use personal funds to pay for business expenses or purchase items for the business, you can make a journal entry. Debit the cost or the account assigned to the items and credit the Owner's Equity.

When you take the money back, you can either create an Expense or Check transaction against your bank account and use the same Owner's Equity account in the Category details section of the transaction.

Here are the steps on how to reimburse the money:
Create an Expense or Cheque Transaction:

  • Go to the + New menu.
  • Select either Cheque or Expense (depending on how you made the payment).
  • Choose a bank account to use to reimburse the personal funds
  • In the Category column, select Partner's equity or Owner's equity.
  • Enter the amount to reimburse.
  • Select Save and Close.

 

Once done, we can record the business expense you paid for with personal funds as a Journal Entry: 

  1. Select + New.
  2. Click Journal Entry.
  3. On the first line, select the expense account for the purchase.
  4. Enter the purchase amount in the Debits column.
  5. On the second line, choose Partner's equity or Owner's equity.
  6. Enter the purchase amount in the Credits column.
  7. Select Save and Close.

 

Before doing so, I suggest consulting this with your accountant for proper recording.
