Question

I have set a custom invoice number on my latest invoice. My understanding is that all subsequent invoices will continue on with the same convention - but they are not!

Nice to have you in the Community space, Wilson.

I can share some insights with you on how invoice numbers work in QuickBooks Online (QBO). QuickBooks automatically assign invoice number in ascending order when creating a new one. This is to ensure there are no duplicate numbers.

If it's posting duplicate numbers, I recommend logging in to your account in a private window (incognito). This way, we can check if this is a browser cache issue.

When the browser is full of cache data, this cause latency that affects the views and performance of your account. Using an incognito browser is a great tool in identifying a browser cache issue as this doesn’t save any cache file.

To begin, you can use these keyboard shortcuts in opening a private window:

  • Press keys: Ctrl + Shift + N for Google Chrome browser
  • Press keys: Ctrl + Shift + P for Mozilla Firefox & Microsoft Edge browser
  • Press keys: Command + Shift + N for Safari browser

If the invoice numbering is correct, I recommend clearing your regular browser’s cache to refresh the system. If the issue persists, try using other supported browsers so we can verify if this is a browser-integrated issue.

Additionally, you might also want to check this link for reference in case you need to add additional information to your invoice: Customise invoices, estimates, and sales receipts in QuickBooks Online.

You can always get back to me if you have any other concerns or questions about invoices number or with your account. I’m always around ready to back you up. Keep safe!
