A customer paid me a deposit before I study started work as requested. Then the final payment was me to me. How do I merge them into the same invoice without having to generate two invoices? Thanks

I've come to help you merge your customer payments into the same or one invoice in QuickBooks Online (QBO), @swlondongaselect. This way, you can manage your sales and income transactions accordingly.

You're able to receive retainers or deposits from customers before performing any services in QBO. The system will treat them as a liability. Although your business is holding the money, it doesn't belong to you until it's used to pay for services. Then, once you invoice the customer and receive payment against it, you'll turn that liability into income.

You'll have to perform six or seven different steps to complete the process.

  1. Create a liability account to track the amount of retainer you receive from your customers.
  2. Create a retainer item.

  3. Create a trust liability bank account (optional).

  4. Create an invoice for deposits or retainers.

  5. Invoice customers for deposits or retainers.

  6. Turn retainers into credits on invoices.

  7. Transfer funds from your trust liability account to your operating account.

For the step-by-step guide, you can check out this article: Record a retainer or deposit. After the steps above, track how much of a retainer or deposit you're holding for your customer from the Balance Sheet report.

Once done, visit the Banking menu to review your bank feeds. You'll have to match the retainers or deposits to your downloaded bank transactions. This way, you can keep your account updated and make sure your entries match with your real-like bank transactions. For the step-by-step guide, you can refer to this article: Categorise online bank transactions in QuickBooks Online.

Let me know if you have other concerns about managing your invoices and payments in QBO. I'm just around to help. Take care always.
