Question

I'm starting with QBs and simply want QB to automatically continue from my last invoice number in my old system. I don't want to import my previous invoices to QB.

Welcome to the QuickBooks family, @Kurtiz.

 

I'm happy to walk you through how to continue your last invoice number in your old system in QuickBooks Online (QBO).

 

Let's make sure that the Custom transaction number feature is turned off in the QuickBooks settings. This way, you can enter your desire invoice number. Let me show you how to check: 

 

  1. Go to the Gear icon, then choose Account and Settings
  2. Select the Sales tab. 
  3. Turn off the Custom transaction number feature. 
  4. Hit Save, then Done

 

After that, you'll need to create a custom field to add the invoice number manually. 

 

Here's how: 

  1. In the Sales section, click the Custom Fields hyperlink. 
  2. Select Add field.
  3. In the Name box, type Invoice number.
  4. Check the All Sales forms box and click Save

 

Next, let's create your first receivable in QuickBooks. Let me guide how: 

 

  1. Go to the +New tab, then choose Invoice
  2. In the Invoice number field, enter the exact digit that will continue from your last invoice.
  3. Complete the necessary fields and click Save and close

 

Once done, I suggest enabling the Custom Transaction Number feature again. This way, the sequence number will continue and auto-populate. Also, no other user can easily change the number. Please follow the first steps described above.
