Congratulations on your new van, Kezwba.

Let me show you how to record the invoice for your new van. First, ensure to set up your loan details correctly. You can check the process below.

Since this is a loan for purchasing new assets, you must set up a liability account. For example, create an account under Loan-Car. Depending on the repayment time frame, choose either Current Liability (to be paid in full within one year) or Long-term Liability (to be repaid over more than one year).

To set up a liability account for a loan:

  1. Select the Gear Icon at the top.
  2. Under Your Company, select Chart of Accounts.
  3. On the right, click New.
  4. Select either Current Liabilities or Long-term Liabilities.
  5. Choose a detail type (a description listed for each option), then select Next.
  6. Name the account.
  7. Leave the Unpaid Balance blank, then choose Save.

After checking the setup, create a Journal Entry to apply the loan to the proper asset accounts.

  1. Select + New.
  2. Under the Other column, choose Journal Entry.
  3. For the first line under the Account column, select the liability account you created.
  4. Enter the loan amount you applied to the asset under the Credits column.
  5. Select the appropriate asset account under the Account column on the second line.
  6. Under the Debits column, enter the loan amount to the asset.

Also, I recommend contacting your Accountant for guidance in recording this loan.
