Can an invoice be created using and other computer to generate the variable amounts for the invoice?

Yes, it's possible in QuickBooks Desktop to create an invoice automatically.

 

You'll need to use the Memorize feature in QuickBooks Desktop. This way, you can create and manage repeating transactions in the system. First, I suggest setting up a multi-user network so you can work on all company files at the same time. The entries are automatically created to generate the invoice amounts.

 

After that, you can now start creating memorized transactions. Please follow the steps below.

 

  1. Create a new invoice or open the invoice you've created.
  2. Click Memorize on top of the transaction.
  3. Enter a Name. Then, select how you want QuickBooks to handle it.
    1. Add to my Reminders List: The transaction will be added to the Memorized Transactions section of your reminders list. When you choose this option, fill in the How Often field.
    2. Do Not Remind Me: The transaction won’t be added to your reminders list or added automatically. You can use this as a template for transactions that repeat from time to time.
    3. Automate Transaction Entry: The transaction will be entered when it's due. When you choose this option, remember to fill in the How Often and Next Date fields.
  4.   Enter any other info, then tick OK.
  5.   Hit Save & Close or Save & Next.
