Hello!

Is it possible to track / get reports by sales personnell / agents? We have several sales people - each responsible for several geographical areas. Some of them have one or more agents below them (for example a sales person responsible for Baltic & Scandinavia has separate agents for Finland, Lithuania etc.).

What I am looking for:

1. To see sales volume per period per sales person and each of their agents

2. To see paid / unpaid / overdue invoices by sales person

3. To assign clients to a particular sales persons & agents and see monthly sales and income by each.

Hi @SGI,

This is possible if you enable the location tracking feature of QuickBooks Online (QBO). Please know that this feature is exclusive to the QBO Plus version.

I'll share to you the steps:

  1. Go to the Gear icon.
  2. Select Account and Settings.
  3. Click the Advanced tab.
  4. Search for the Categories section, then click it.
  5. Toggle the Track locations feature.
  6. Press Save, then Done.

Now that the feature is on, what you need to do is add locations to your list. Later on, you can treat these locations and sub-locations as salespersons and their agents, respectively.

See this article to continue with the steps on how you can add locations: Set up and use location tracking. It also includes steps on how you can edit or delete a location.

Here are the steps on how you can add sub-locations:

  1. Click the Gear icon.
  2. Select All lists.
  3. Tap the Locations link.
  4. Hit the New button.
  5. Type in a name for this location.
  6. Tick the is sub-location checkbox.
  7. When done, press Save.

Another thing to take note, at most you can add 1 location per transaction. This is so you can track your sales accurately. With that said, I suggest running the Sales by Location Detail report. You can do this by going to the Reports tab, then type Sales by Location Detail in the search box. All these I mentioned should cover the first 2 things you're looking for.

As for the 3rd thing you mentioned, there isn't a specific way to link a customer to any given location or sub-location. What you can do is manually assign it during the process creating your sales transactions.

In case you need to do some minor changes to your reports to meet your company's needs, take a look at this article: Customise reports in QuickBooks Online. It's a detailed step by step guide on what you can customise on your reports, along with the steps on how you can do it.

Please feel free to drop a reply below if you have any other questions. I'll be sure to get back to you.
