Question

Is there a quick way of deleting automatically created payments within a customer? QB Online has automatically allocated deposits to invoices in order of the invoices.

The invoices were added after the deposits, so the deposits were automatically allocated, but wrong. Would like to see how to prevent it doing this too.

Hello there, @john-dawson!

Let me help delete the payments and prevent your early deposits get allocated to invoices in QuickBooks Online.

As of the moment, there isn't a quick way to delete the automatically created payments from a deposit linked to an invoice. It can only be done by selecting More on the said payments and clicking the Delete option.

Use this article to read and learn more: How to Delete Transactions in QuickBooks Online?

Now let's turn off one of the automation settings to prevent the early deposits get allocated to invoices after creating them. I'll show you how.

  1. Go to the Gear icon.
  2. Under YOUR COMPANY, select Accounts and settings.
  3. Select Advanced.
  4. On the Automation section, select the Pencil icon.
  5. Toggle the Automatically apply credits selection to turn it off.
  6. Select Save.
  7. Click Done.

I'm also adding this article for other documents you're able to send showing the summaries of your customer's activity: Create and Send Customer Statements in QuickBooks Online.
