Question

My customers aren’t receiving the invoices/quotes that I’m sending even though it says ‘sent’. Can anyone help me resolve this issue?

I'll outline some possible reasons why your customers aren't receiving your emails and guide you on how to resolve the issue, @BoxerScaff.

Please ensure that the email addresses for your clients are correct in QuickBooks. A simple typo could prevent delivery.

It’s also worth asking them to check the spam or junk folders of your customers' email accounts to see if the invoices or quotes were misdirected.

Moreover, if you recently imported QuickBooks Desktop (QBDT) data into a QuickBooks Online (QBO) company, you would need to reset your email settings. Here's how:

  1. Sign in to your QuickBooks Online account.
  2. Go to Settings, then select Account and settings.
  3. Select the Company menu, then click Edit in Contact info.
  4. Review each email address and make changes as needed.
  5. Click Save, then Done.

Additionally, if you still find that your clients aren’t receiving the emails, clearing and re-entering your email address in QuickBooks could help:

  1. Navigate to Settings, then Account and settings.
  2. Go to the Company section, then select Edit in Contact info.
  3. Clear the Company email field and enter the desired address as is, even if it appears correct.
  4. Click Save, then Done.

After making these changes, send yourself a test transaction to see if you receive it. If you still don't, consider using a different email address with another domain such as Hotmail or Yahoo.

If the problem continues, consulting an IT expert might be beneficial. They can add the QBO mail server hostnames and IP addresses to your allowlist, ensuring smoother email delivery. You can refer to this article for more details: 3 solutions for when customers aren't receiving your emails.

Additionally, once your customers pay their invoices, remember to record those payments to balance your income accounts. For guidance, check out this article: Receive invoice payments in QuickBooks Online.
