Record keeping for expenditure paid partly by others

We have paid for an expenditure for a resource that will be shared with other people/ organisations.

 

We paid £200. 4 external people/ organisations have then paid us £40 each towards the cost of this resource. How do we record these transactions?

Allow me to guide you in recording your transactions. Know that in QuickBooks Online (QBO), you can record personal money you use to pay bills or start your business and most Accountants often call this a capital investment. 

 

These funds come from you as an owner, partners, or other owners. To record this transaction, you'll need to set up an equity account first, then record the investment.

 

Hence, there's no need to record it if your bank is connected. You just need to categorise the transaction associated with your deposits. If you don't automatically import your bank transactions you can record a deposit into your equity account instead.

 

Here's how:

 

  1. Click the + New icon.
  2. Choose the Bank deposit.
  3. From the Account dropdown menu, choose the bank account you're depositing the money.
  4. Then, enter the Date you deposited the money.
  5. From the Add funds to this deposit section, enter the name of the investor in the Received from the field.
  6. Choose the correct equity account from the drop-down list in the Account field.
  7. Enter the type of Payment method.
  8. Type in the investment amount in the Amount field. Then, click Save and close.
