Seeing a deleted transactions previous categorization

Hi,

I was in the process of reconciling an account and noticed that five transactions from a previous period have been accidentally deleted.

Is there a way to retrieve the details of these transactions and see how they were previously categorized?

You can use the Audit log to recover the details of the deleted transactions so you can re-enter them, @franky5. I'll be happy to guide you with the steps below.

Beforehand, make sure to sign in as an admin to access the Audit log.

Here's how to locate and re-enter deleted transactions:
 

  1. Go to the Gear icon and select Audit Log.
  2. From the Filter dropdown menu, select the appropriate user, date, and event(s).
  3. Select Apply.
  4. Find the deleted transaction.
  5. Once you've located the deleted item, select View under the History column
  6. You'll see all the information needed for the transaction under the Event column.
  7. Use that details to re-enter the transaction with its original date.
     

After that, manually reconcile the transaction by going to your account register.
 

  1. Go to Transactions and select Chart of accounts.
  2. Locate the account that you put the transaction into and select Account history.
  3. Find the transaction and select it to expand the view.
  4. Select the box in the tick column until you see an R to manually reconciles the transaction.
  5. Click Save.

So QB is saying these five transactions have been deleted, which has thrown off the beginning balance by over -$50,000 when reconciling. 

 

When reviewing these transactions figures, I can still see the exact amounts in the account reconciled — they haven't been deleted?... It appears these transactions were transfers between two accounts in QuickBooks, and I’m wondering if that might be the issue. Perhaps they were marked incorrectly or removed from one side of the transfer?

I’m unsure whether I should re-upload them or leave them as-is, since I can already see those exact totals of the 5 transactions still reconciled in the account?

The transactions in question have not been deleted but may have been changed or recorded differently due to account transfers.

 

To address and clarify this situation, please follow these steps:

 

  1. Verify Transfer Details: Check the Account Register for both accounts involved to ensure that each debit entry in one account corresponds with a credit entry in the other and vice versa, confirming the accurate recording of transactions.
  2. Reconcile with Bank Statements: Cross-reference your QuickBooks data with the relevant bank statements. This step will help confirm whether the transfer entries accurately reflect bank activities.
  3. Hold Off Re-Uploading Transactions: Let's refrain from re-uploading transactions without confirming their current status to avoid duplicates.

 

If the transactions went to the wrong account, you can undo the reconciliation and transfer them to the correct account. Once you have made the necessary adjustments, you can reconcile the account again.

 

It might be beneficial to consult with an accountant. They can provide a more in-depth analysis and guide you through the correction process.

 

Additionally, you can run and print a reconciliation report for the affected accounts to compare the initial balance with the current balance in QuickBooks, helping you identify any discrepancies.
