Recently created a rule that has messed up 2 years worth of meticulous record keeping on quick books self employed. I have both my business and personal transactions running through this account. I tried to mark a TFL transaction as a travel expense but instead of the program recognising the provider, it just turned all 'card payments LTD' transactions (which happens to be 80% of my transactions both personal and business) into travel expenses and now I've lost 2 years or more of data because I didn't have a back up record of which transactions of those were business and which were personal. I have thousands of transactions which have been affected . Tried to contact QB today and they said I must manually rectify that there is no way to restore my data to 19th november 2022 when I made the mistake or when the rule was created. I am now going to be very wary as it seems the programme cannot identify the provider of the service(visible when you click on the transaction) but only the 'card payment LTD' shown in the program. Any ideas anyone? I am so distraught to of lost all my data and as I have already submitted tax returns now my data doesn't match what I submitted to the tax office and quick books was the only place I stored the transaction data, as I review the transactions every week to say if they are business or personal. To try and manually do this going back 2 and a half years would be guesswork at best.

Hello there, @Faye. I'll share some details to help you get through this situation and have your personal and business transactions categorised correctly in QuickBooks Self-Employed (QBSE).

Before we do so, I'd like to thank you for explaining your situation. I appreciate you for reaching out here in the Community. Although this might take time before your transactions get categorized correctly, I'm confident you can accomplish this.

Currently, the only way to fix this would be to access each transaction you have and change the category with the correct one since the option to undo the effect of the rule in QBSE is unavailable. I'll gladly input the steps below so you can proceed. To begin, here's how:

  1. Access your QuickBooks Self-Employed company.
  2. On the left navigational bar, go to the Transactions menu.
  3. Find the transaction you want to edit.
  4. Select the ▼ icon to expand the transaction.
  5. Edit the transaction name, add notes, or attach a receipt.
  6. To change the category, select the link in the Type or Category column. Then select a new category.
  7. When you're done, select Save.

For more information, please see this article: Categorise transactions in QuickBooks Self-Employed.

Additionally, I've got you this article in case you'd like to learn more about how rule works in QBSE: Create rules to speed up reviews in QuickBooks Self-Employed.

You can also visit this page about how to add older transactions in QBSE: Add older transactions to QuickBooks Self-Employed.

@Faye, if you need further assistance with this or have any additional QuickBooks-related concerns. Don't hesitate to post here. Our door is open 24/7, and I'll gladly help you again. Take care.
