Question

When I create a bill from a snapped invoice on the QB app, it is only allowing me to put it to one of the expense accounts. Why isn’t allowing me to put to cost of sales?

I appreciate you for reaching out to us here in the Community. Allow me to step in and provide some information about uploading receipts in QuickBooks Online.

QuickBooks Online reads the receipts, extracts the information, and automatically matches the receipt to a transaction. If you're not able to assign the cost of sales, you'll need to create a new transaction for that receipt and match it. For additional reference, you can use the following article to learn how to email receipts or bills to QuickBooks: Upload your receipts and bills to QuickBooks Online.

To become more familiar with how matching and managing receipts works in QBO, check out the following articles:

If you have any other questions about emailing your bills to QBO, let me know by adding a comment below. I'm more than happy to help. Keep safe!

Sorry but your response bears no resemblance to my question.

I'll ensure that you can allocate a transaction in your cost of sale in no time, @userrichardj-hewitt.

Allow me to explain why you're unable to assign a transaction to your cost of sale account and how to resolve this problem. Thus, I can guide you accordingly.

Ensure that the cost of sales account is active in your chart of accounts. This allows you to allocate a transaction at any time. To check, please sign in to QuickBooks Online in a browser and perform the following steps:

  1. Go to the Accounting tab on the left side, then choose Chart of Accounts.
  2. Click the small gear icon on the upper right pane.
  3. Check the Include inactive box and check the account lists.

Once confirmed and the issue continues, I advise you to go back to your QuickBooks Application and reset it. This is the same as clearing the cache from your web browser. Let me guide you on how.

For Android devices:

  1. Go to the Home tab or click the three dots on the right side, then select the Settings tab.
  2. Choose the Refresh Data menu.
  3. Hit Yes.

 For iOs:

  1. Go to the Help menu.
  2. Select Reset App Data.
  3. Click OK.

If the issue persists, let's uninstall and reinstall the app for a clean slate. You do not need to worry since it won't delete any of your app's transactions.

Here's how:

  1. On your homepage, touch and hold the QuickBooks app.
  2. Click Remove, then tap the Delete App to confirm.
  3. Install the app again.
  4. Then re-assign the transaction to your cost of sale to verify if it's already performing well.

Additionally, I've included some articles on how to match receipts and correct if there's no label and amount on the bill:

Furthermore, did you receive any error message while trying to assign the bill to your cost of sale? If yes, can you provide the exact wording of the error in detail? So, I can give you accurate information and resolution.

I look forward to hearing from you, @userrichardj-hewitt. Keep safe and healthy.
