Question

Why is QuickBooks still showing match found for a deposit when the sales receipt that it's saying it has found was already used and is a sperate deposit already linked?

So I made a sales receipt, which according to my understanding is a sale combined with a bank deposit. and now I have another deposit showing in my bank for the same amount from a different sale at a later date, and QBO is telling that they found a match, which is the sales receipt that was used and linked for a different sale with the same amount.

Hey there, @sales276.

 

Once you connect your accounts, QuickBooks will automatically download your latest transactions. Then, it look for a match with the transactions you've already entered in the program. This links them together so you don't get duplicates.

 

It's possible that you have a duplicate sales transaction with the same amount. That's the reason why QuickBooks is showing it as a match to your downloaded. 

 

To verify, let's review your bank register. If the sales receipt was already matched, its status should be marked as cleared in the Check column. Here's how:

 

  1. Go to Accounting menu.
  2. Select Chart of accounts. 
  3. Click View register. 

 

You can also review the sales receipt number to check if you have a duplicate one.

Thank you so much for your reply.

So there's only once that amount in the bank account history under chart of accounts, and when I click on match, it allows me to link the same sales receipt to a 2nd deposit. this is btw in my paypal bank account on qb.

If you've done the recommendations above with no avail, let's try using a private or an incognito browsing session when updating your bank. Follow these keyboard shortcuts to start an incognito session:

 

Kindly use either of the following shortcut keys:

  • Google Chrome, press CTRL  + Shift + N
  • Mozilla Firefox: press CTRL  + Shift + P
  • Safari: press Command + Shift + N
