We appreciate you reaching out here in the Community space, @shortcutuk. We'll provide details to help you record VAT penalties and fines inside QuickBooks Online (QBO).

Before recording the VAT penalties and fines inside the program, create an account in your Chart of Accounts to track those items. Once the account is ready, you'll want to enter your tax agency as a vendor when recording the penalties and fines as expenses. We'll outline the steps to get you going:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, click the + New button.
  3. Click Expenses and select your tax agency as a vendor and then add the necessary information.
  4. In the Category details section, use the account you created earlier to track the penalties and expenses. You can also add notes in the detail section for documentation purposes.
  5. Enter all the needed details.
  6. Once done, click the Save button.

If you're unsure of the details when creating an account in your COA, know you can always work with an accountant. This way, they can guide you through the process and complete the task while ensuring penalties and fines are tracked accurately inside the system. If you don't have an accountant, feel free to visit this page to get one: Find a QuickBooks ProAdvisor.
