Hi,

I am trying to download my Santander Bank statement to load it in to Quickbooks self employed.  Santander does not offer a CSV file only a Excel option.  I down load this and the remove all the black columns and and spaces make sure I only have Date, Description and amount column and then save as a CSV  file.  When trying to upload this Quickbooks tells me there is an error.  How am I supposed to get this info into quickbooks?

Thank you

Kind Regards

Shona

Hi Shona, thanks for posting here - what specific error message shows when attempting the import, and do you see any option to bypass and continue with the import?

Hi,

I often receive advances, cash floats or reimbursements for project costs into my bank account. Once a job is finished these are balanced via invoice. How should I categorize the incoming transactions (eg. cash advance, or reimbursement for project costs), and the 'spend' transactions that correspond with them?

In the past I have labelled spends as 'cost of goods for resale' expense category, and added the corresponding invoice number as a note on the transaction. I have also labelled the incoming reimbursement/advance as 'cost of goods for resale' and attached the invoice directly. I'm not sure if this acceptable or not for a UK self-assessment tax return.

Any advice would be much appreciated.

Hi, I'm new to Quickbooks self employed and just reviewing my transactions in preparation for doing my tax return but it is only importing the last quarters transactions, how do I get the last 12 months or more on there? Thanks

December 23, 2022

Hi there, Emc82.

Let me make it up to you by ensuring you'll be able to import the last 12 months in QuickBooks Self-Employed (QBSE).

If you connected your bank for the first time, QuickBooks downloads your most recent or 90 days' worth of transactions.

To get the last 12 months or more, you'll need to manually download the transactions from the bank. You can use either a 3-column or 4-column format. I've attached a screenshot for your reference.

Once done, you can start importing the old transaction. Here's how:

  1. Click the Gear icon.
  2. Select Imports. Then, choose Import older transactions for the account you want to add transactions to.
  3. Click Browse and find the file you downloaded from your bank. It's usually in your Downloads folder.
  4. Select the file and select Open to start the import.
  5. Review the column headers and data. Make sure the Date, Description, and Amount columns on the CSV match the columns and order in QuickBooks. The other column headers can be in any order.
  6. Select Continue to complete the import.
  7. Follow the on-screen instruction.

Now that your transactions are in QuickBooks, it's time to match and categorise them. Doing so will organize your income and expenses. This way, you'll know what areas of your business have the biggest impact.

Keep in touch if you need more help in uploading transactions in QuickBooks, I'll make sure to get back to you soon as I can. Have a great day!

Because i issued cheques for all payables in future dates. But when i look at my balance sheet till todays date. Its showing all my payables of future. What is the solution

Thank you for posting on this thread, Haseeb Abddullah.

We'll have to update your QuickBooks Desktop (QBDT) to the most recent release. This troubleshooting will apply critical fixes and resolve common errors or issues you may be experiencing while working in the program.

Let me help and show you the steps. Here's how:

  1. In your company file, head to the Help menu at the top bar and select Update QuickBooks Desktop.
  2. Navigate to the Update Now tab and tick the Reset Update box to remove previously downloaded releases.
  3. Click the Get Updates button and press OK to continue.

Close and reopen your QuickBooks to begin the installation and then select Yes. After that, restart your computer.

Then, open your Balance Sheet report and set the correct date. If you continue to see the payables, let's run the Verify and Rebuild Data Utilities to check your file for any data damage.

Before running the tool, make sure to create a backup copy of the company to prevent accidental loss. When you're ready, follow the instructions in this article on how to run the utilities: Verify and Rebuild Data in QuickBooks Desktop.

I have tried many times now to upload my csv file to import older transactions into QuickBooks. I've changed the column headers so they read the same, deleted a column so they are in the same order, but I keep getting error messages. Can you help please?

Hi, @MrsBudd. I'm here to ensure that you'll be able to import transactions into QuickBooks.

May I know the specific error message you receive while doing the process? This way, I would be able to share some additional help with this matter.

Generally, if you see an error message when you upload, do the following:

  • Remove any zeros (0) from the file. Leave those cells blank.
  • Correct any transactions that display numbers in the Description column.
  • Remove the word "amount" if it appears in the Credit or Debit column header. They should only read "Credit" and "Debit" without the word "amount."
  • Make sure the dates are in one format. We recommend you use: dd/mm/yyyy.
  • Mac users must save the file as a Windows CSV file.
  • Some banks add the day of the week in the Date column (for example, 20/11/2018 TUE). You need to remove the day of the week. To do this, split the date and the day of the week into separate columns:
  1. Open the CSV in Microsoft Excel.
  2. Highlight the column that contains the date.
  3. Go to Data then select Text to Columns.
  4. Follow the onscreen steps and select the following:
    • Original data type: Delimited
    • Delimiters: Space
    • Column data format: General

If you haven't tried the techniques shared by LeizylM above, you can utilize them and check the formatting of your CSV file.

Moreover, adding transactions older than QuickBooks downloaded initially takes two steps. See this article for details:  Add older transactions to QuickBooks Self-Employed

Should you need further assistance in importing transactions, don't hesitate to leave a reply. I'll be here to lend some help. Stay safe and have a great day!

Hi,

I have recently become VAT registered and added the VAT functionality to QB. HMRC allow a back payment/ adjustment for the VAT paid on previous expenses.

I can add VAT amount paid on the various bank transactions I have from my Bank Account History but what I want to be able to do is calculate the amount of VAT paid prior to registering on the VAT scheme and display it as a report.

Thanks

January 4, 2023

Hello Jezzah, thanks for posting on this thread, so you can manually mark as filed the prior period on the vat return even if it is nil amount. And when the correct period shows you can record those historical transactions in QBO to show as exception on the current return. Or if you don't want to do that, you can make vat adjustment to the vat period but I'm not sure that will reflect on the reports you want. Otherwise we advise you speak to a trained and qualified accountant about it.

I can’t access the app I get this pop up when I log in "looks like your account doesn't include access to the Quick Books Online mobile app"

January 5, 2023

Hello there, @Niccijoy1. Welcome to the Community.

Let's download and install the correct QuickBooks Online (QBO) app so you can access your account using your mobile devices.

Based on the error message you received, you may have utilized another version of the QBO app (for example, the QBO Accountant app) when logging in to your account. With this, you'll have to download and install the correct one.

If you're using an iOS device, follow these steps:

  1. Open the App Store on your device and search for QuickBooks Online. (It may not be available for some countries).
  2. Select Free, then Install.
  3. If you are already signed up for QuickBooks Online, use the same user ID and password to sign into the app.
  4. You may be asked to confirm a one-time confirmation code to confirm your identity. Once confirmed, you can continue into your account.

If you're using an Android device, follow these steps:

  1. Open Google Play on your device and search for QuickBooks Online. This app works on smartphones and tablets. (It may not be available in some countries).
  2. Select Install.
  3. If you are already signed up for QuickBooks Online, use the same user ID and password to sign in to the app.
  4. You may be asked to enter a one-time code to confirm your identity. Once confirmed, you can continue into your account.

For the complete guide, please see this article: How to download the QuickBooks Online mobile app.

Once everything is all set, you may also want to check out this article to learn which QBO mobile app features are supported on mobile devices: Compare mobile app features.

Please feel free to leave a comment below if you have other concerns about managing your company's income and expense transactions in QBO mobile app. I'm always ready to help. Take care, @Niccijoy1.

Hi,

I submitted my latest VAT return on 13th Dec, but an error code has appeared 'INTERNAL_SERVER_ERROR' and since then still not allowed me to resubmit. I have contacted HMRC who have advised its likely due to the amount of traffic to their site, and that Quickbooks should allow me to re-submit. HMRC confirmed they haven't received my return.

Please can you advise how I can re-submit, as the option to do so isn't available.

Thanks

January 6, 2023

I'm here to ensure you'll be able to get rid of the error and submit your VAT returns, Sam Kidner.

When submitting a VAT return in QuickBooks Online (QBO), you have to ensure that you're using the correct Government Gateway user ID and password given by HMRC.

We understand the convenience of submitting your VAT return through QuickBooks. We also know how time-consuming it can take when something isn’t working the way you need it.

To figure out why you’re not able to resubmit the VAT return and to come up with a fix for this, we’ll need to pull up your account information. To sustain your account’s security, we’ll have to do this. To do so, you can reach out to our support team.

  1. Go to the Help icon.
  2. Select the Search tab and click Contact Us.
  3. Enter a ''Can't resubmit vat return''.
  4. Choose a way to connect with us.

If you'd like to review the process of submitting your VAT returns to the HMRC, we can take a look at this article: Submit an MTD for VAT return to HMRC in QuickBooks Online
