Question

Deleting Multiple Item and Inventory Adjustments

We are migrating from from Quickbooks Enterprise Retail to QBO, prior to Migrating we asked about the Item List limitations of QBO. We asked this because we have closed to 70,000 Inventory Items.  We were told that QBO has no item limitation, so we ordered QBO and the Migration team started the work for Migrating.

3 Days later Migration team advised that although QBE and QBO don't have item limitations the Migration process can only Migrate 13,500...kind of wish I was told this as I'm paying for 2 products till this is solved

Onto the Problem: I have deleted as many items as possible but I'm still at 47,000+ and am stuck. 95% of  these item have an Inventory Adjustment transaction some have 5.  I have NO idea how as we've never accepted inventory for these. The only way (that I know of) to do this is one by one, I have to delete any inventory adjustments for each item and then and only them can I delete the item as we can't delete the item with an inventory adjustments.  8hrs later and 1 case of carpal tunnel syndrome later I didn't put a dent in it.

I have emailed the migration team 2x on friday, no response. Opened an online case with agent who advised wrong dept who pushed me to another dept who advised wrong dept.  Time ran out as this was near 6pm yesterday.

There has GOT to be a better way, at this rate this will take weeks not days to delete 30,000+ items each with 1-5 of it's own inventory adjustment that needs to be deleted.  Hopefully I'm just not clever and there is a better way to do this.

Who is your migration team? Afaik, Intuit Data Service doesn't offer any data conversion service. You can purchase a 3rd party conversion service to migrate the whole 7000 item lists if required.

Hi StealthyRaptor,

Thank you for reaching out to Community and for choosing QuickBooks Online for your accounting needs, where you can perform your daily tasks from anywhere at anytime on any device.  One of the many great in product features is having the capability of importing your data with an excel spreadsheet.  Rather than deleting inventory and adjustments as you've mentioned, which is extremely time consuming given the number of items you have in stock, you can manually import your lists.  I'd be happy to steer you in that direction, so you can decide what benefits you as a valued customer.

Prior to importing your items to QuickBooks Online, you'll be able to open a sample file that guides you through your entries, including but not limited to, description, quantity on hand, income account and much more.  I recommend reviewing this so you can map your excel spreadsheet for a smooth transition.

To get started, here's how to locate the sample file for importing data:

1. Login to QuickBooks Online

2.Click on the Gear in the top right corner and select Import Data

3.Select the tile for Products and Services

4. Open the blue hyperlink to Download a Sample File

Note:  You can only import 1,000 rows at a time, so you'll need to split up your lists into smaller files.

Once you've formatted your spreadsheet, you're ready to import your products and services.  Here's how:

1. From the Gear,  select Import Data

2. Choose the tile for Products and Services

3. Click Browse and locate the file, then hit Open

4. Select Next

5. Map your information. Your Field represents the headers on your spreadsheet. From each drop-down ▼ menu, select the one that matches a field in QuickBooks Online.

6. Hit Next

7. If you have any cells highlighted in red, check the cell in your spreadsheet and try importing again

8. Choose Overwrite all values for each product or service with the same name and make sure everything looks correct.  This can't be undone

9. Select Import.

You're all set and ready to move onto the next spreadsheet to be imported!

Here's an article for your reference, with more information on how to import products and services into QuickBooks Online.

I hope this process proves to make your day a less stressful one.  Cheers!

Trish;

thanks for your response, we actually set up a marco to run and start deleting all these items and by my calculation it should be done by Thursday morning. To be honest I can import all the items from our site to QBO so ideally I don't  even want any inventory/non-inventory items imported.

Is there a way to import everything from QBE to QBO but NOT import inventory/non-inventory items.  When I asked the team that was prepping my QBE file they said they didn't have a way but I'm assuming there must be a way to do this.

Hi StealthyRaptor,

Once you've prepared your files, we'll take care of importing everything from QuickBooks Enterprise to QuickBooks Online for you.  To learn more about sending your file to our Data Services team and the status of your case, follow this link.  You'll receive an email with detailed instructions and everything you need to know about the process.  The sender will be qbocaresupport@intuit.com.

All the best!
