Im in payrtoll trying to submit and it asks me for the password because I am entering pre year end, but were do i put the password ????

Hello bookkeeperallyso,

 

Don't worry, I have an idea of what's going on with QuickBooks Online and the prompt to enter the password. Your detail about it being prior to year end was a clue I needed for this, and I'll help you get back on track so you can enter the payroll transactions you need.

 

In QuickBooks Online, it's possible to complete a task called Closing the books. When you do this, it locks transactions prior to the closing date so that they're not accidentally changed and have a negative impact on your numbers. When setting up this feature, it's possible to set it up so the program only gives a warning before changes are made or to set it up so it gives a warning and asks for a password in order to make changes. This password is chosen by the person who locks the books, and usually a window pops up where you can enter the password.

 

It sounds like you're not seeing that window pop up. That's okay. I see that your screenname has bookkeeper in it, so it may have been you that setup the close books feature. If that's the case, what you can do is return to the account settings, turn off the feature to complete the tasks you need to, such as running the payroll, and then reclose the books. If you didn't set it up, I recommend checking with the person who did first just to be sure that they're okay with you doing that.

 

To toggle the close books feature off, follow these steps.

  1. Go to the Gear icon.
  2. Choose Account and settings.
  3. Click Advanced from the left menu.
  4. Click the Accounting section.
  5. Toggle the option for Close the books so that it's grey/off.
  6. Click Save.
