Question

When I log on, I dont see any of my transactions from April to December. No record of my sales or anything. It still shows my bank account is connected though.

It's nice to see you in Community.  Welcome!  Missing transactions in QuickBooks Online, can definitely be concerning, even more so when it involves several months.  I would be glad to assist!

 

 If you're logging into your QuickBooks account on the mobile app, I suggest refreshing the app, or uninstall and reinstall it.  If you experience the same result, I recommend logging into QuickBooks Online from a web browser, making sure you clear cache, before logging to your account. 

 

It's also important to note that when connecting your bank and credit card accounts to QuickBooks Online, some financial institutions have limitations on the data that can be retrieved. Some banks may only allow 30-days of transactions, while others may provide up to 120-days. However, one of the many valuable features in QuickBooks Online, is the ability to manually upload your transactions, in situations such as this. Here's how;

 

Before proceeding, You'll want to make note of the last transaction in QuickBooks, to prevent any duplicate entries. Follow these steps to locate the information:

 

1. Open your Settings ⚙ and select Chart of Accounts

2. Locate the account and select Account history 

3. Write down the date of the last transaction

 

Proceed by signing into your bank or credit card's website

1. Enter the Date range for the transactions according to the date of the last transaction in QuickBooks

2. Download your file in CSV format

3. Save the file 

4. Make any changes necessary, to ensure it's in the correct format

 

Follow these steps to upload the file into QuickBooks Online:

 

1. Login to QuickBooks Online

2. From the Transactions menu, select Bank transactions

3. Click the blue tile for the account you're uploading the transactions into

4. Use the ▼ dropdown menu beside Link account and select Upload from file

5. Hit Browse and select the CSV file you downloaded from your bank, then click Next

6. From the Account ▼ dropdown, choose your account and hit Next

7. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks and hit Next

8. Select the transactions to import and continue through the prompts

9. Choose Yes to continue

10. When you're ready, hit Done

 

If you notice any duplicate entries, follow these steps to remove them:

 

1. From the For review tab, checkmark the box beside the duplicate entries

2. Select Exclude 

Note: To permanently delete the transactions from the Excluded tab, select the items and hit Delete. This process is irreversible and any transactions deleted in error will need to be recreated manually.

 

Here's how to match and categorize your transactions. In addition, you may benefit from setting up Bank Rules, so QuickBooks will automatically categorize the transactions for you.
