Accessing QB books from all 3 logins

Dear Quickbooks Forum,

I have 3 separate logins on my Computer, by mistake. Everything got screwed up when I moved, and had some trouble, and mistakenly created too many user accounts.

 

The 3 are: xxxAdministrator, xxx Standard User, and xxxxxxAdministrator

Under xxxAdministrator I have 1 file: [removed]


Under xxx Standard User I have 4 files: [removed], and Trust

Under xxxxxxAdministrator I have 12 files, but none of the files listed above.

I would like to have all 16 files accessible under xxxxxxAdministrator and under xxx Standard User, and get rid of xxxAdministrator.

How can I do that?

To begin, log in to your xxx Standard user, copy the four files, and then save them on an external device or flash drive.

 

If there's an extra file in the third user account, the same process applies. Sign in to the xxx Administrator user and then proceed to copy the file.

 

Your business data are vital, so let's make sure to learn how to transfer your company file effectively to help you prevent any disruption.

 

Here's how:

 

  1. Follow the steps to Create a backup company file.
  2. When you save the backup file, give it a unique name so it's easy to identify. This also prevents accidental overwrites.
  3. Save the backup file somewhere you can easily find it, like your Windows desktop.
  4. You can either put the backup on a flash drive or an external device.
  5. Follow the steps to restore the backup xxxxxx Administrator user. Remember, it should have a unique file name.

 

Once completed, sign in to the xxxxxx Administrator user and paste the company files into the same folder where the 16 other files are located.

 

Since this is outside QBDT concerns, it's best to collaborate with an IT expert for setting up folder sharing. This way, files from the xxxxxx Administrator user are accessible by the xxx Standard User. Additionally, the IT team can also help you remove any surplus to the xxxAdministrator account.
