Bug: Budget vs Actual Report saved with Last Month shows This Fiscal Year. How do I memorize and set to for Last Month and send each month without the workaround?

I setup separate reports for each class and want to show the managers each month how they are doing against their budgets.

Hey there, @PlayaRoundGolf.

 

Thanks for reaching out to the Community for support. 

 

In QuickBooks Online, when you memorize a report the date method you choose (Last week, Last month, etc.) will be how to keep the reports changing from month to month instead of using custom dates. 

 

However, if you have tried this and you're still experiencing current data in the reports, you may need to try some basic troubleshooting to your browser. 

 

This type of QuickBooks behavior occurs when there's a large data in the cache. That said, I recommended using a private browser and clearing the cache. Use these keyboard shortcuts depending on your browser to launch a private window:

 

  • Google Chrome: press Ctrl Shift N  
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

If the report is working as it should in a private window, I encourage you to clear the cache.

 

Here are some steps to memorize and send reports:

 

To memorize:

 

  1. Find and display the report you want to memorize.
  2. Select Customize.
  3. Once the report is customized the way you like it, click Run report, then Save customization.
  4. In the Custom report name field, enter a descriptive name for the report.
  5. Hit Save.

 

To send the report:

 

  1. Go to Reports, then select Custom Reports.
  2. Find the report group you wish to schedule, then click Edit in the Action column.
  3. Turn on Set email schedule. (Note: If the report is a member of a group, the report will follow the schedule set for the group. If you don't want to send a report that is a part of a group, you will need to remove it from the group.)
  4. Set the email recurrence. (Tip: To set a quarterly schedule, choose Monthly and Every 3 months for the interval. For Monthly and Twice a month, you can't choose the 29th30th, or 31st day of the month because these days are not in every month. However, you can choose the Last day of the month.)
