I have a bill that I entered for a vendor on 3/14/24 and coded that Bill to our inventory asset account.  at the end of every month i adj our inventory asset to match our warehouse system.  I finished updating all of the months through November 2024 and then suddenly I found that my inventory balance was off by $24,032.25.  The exact amount of the bill.  I ran the transaction journal for the Inventory Asset account an pinpointed that my adjustment was off by $24,032.25 in March.  So I adjusted the adjustment and then it happened again.  The bill went missing from the inventory asset transaction list even through the bill is properly dated and enter to the inventory asset account.  About 15% of the time the bill shows up and then when i refresh the details, it disappears again.

Welcome to the Community, Jason.

I'm here to share some steps to rectify the issue with the bill not showing in your inventory asset account. To start with, let's review your filters in the account register to locate the transaction.

Here are the steps:

  1. Go to Transactions and select Chart of accounts.
  2. Find the account you want to review. Then, in the Action column, select View register.
  3. Click the Filter icon, and set the filter to when the transaction was created.
  4. Select Apply.

If you're still getting the same result, I recommend performing some browser troubleshooting steps. Let's begin by opening your account in an incognito or private browser window.

Here are the keyboard shortcuts for popular browsers:

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P

If it works, return to your regular browser, clear its cache to remove unnecessary data, and start fresh. You can also consider using a different supported browser to enhance your QuickBooks experience.

Furthermore, if you want to record a bill payment, you can consult this article on how to record a payment through check, cash, or credit card to maintain accuracy in your books: Record a bill payment.

Actually the bug was a bigger issue than a browser issue because when I downloaded the transactions, it was missing from the download as well.  I ended up deleting the invoice and re-enter it with a modify invoice number adding an R to the end.  And then rematched the payment to my bank transaction.  This fixed it.  it is know longer randomly disappearing and reappears.  I don't know if the original transaction was corrupt in some way.
