Question

Can I enter an expense report for business items that have been paid for personally. Costco order when business items and personal items are paid with the same card?

There are a few accounts that are paid by personal funds and need to be split between personal and business.  Can we use an expense report to recover those funds from the business and how do we manage it?

Let's work hand-in-hand to manage your business items paid with personal funds in QuickBooks Online, snocket.

If you recorded expenses using journal entries, you can simply run a Transaction List with Splits report and customize it to get the desired information.

Here's how to do that:

  1. On the left navigation panel, go to Reports.
  2. Locate the Transaction List with Splits report. You can also use the search bar to find it.
  3. Make sure to select the correct report period. Then, click Customize.
  4. In the Filter section, tick Transaction Type. Then, select Journal Entry.
  5. Press Run report.

However, if you recorded the expenses from the +New button, filter the transaction type to Expense. Then, once you've calculated the total amount for reimbursement, you can follow the steps below to record the repayment as a check.

  1. Navigate to the +New button.
  2. Under Vendors, select Expense.
  3. Pick a bank account to use to reimburse the personal funds.
  4. In the Category column, choose Partner's equity or Owner's equity.
  5. Enter the amount to reimburse.
  6. Save the entry.

Alternatively, you can also record the reimbursement as an expense. The steps on how to do so can be found in this article: Pay for business expenses with personal funds.

You may also want to save a report's customization settings. Here's a guide on how to do that: Memorize reports in QuickBooks Online.
