Can I schedule a report to run automatically and automatically send?

Hi there, ed.

You can set a schedule and email information for a memorized report in QuickBooks Online. Once you memorized a report, you can send it by email on a recurring schedule. 

You can send an individual report or a group report. Here's how you can do it:

  1. On the left menu click Reports.
  2. Choose Custom Reports at the top.
  3. Find the report you'd like to schedule for email and in the Action column, click Edit.
  4. Click the Set email button to turn it on.
  5. Set your desired email recurrence.
  6. Enter the email information for sending the report.
  7. If you want to send the report as an Excel file, you can put a check-mark on the Attach the report as an Excel checkbox. Otherwise, the report is sent in HTML format. 
  8. Click Save.

I'm glad to see you here, CDB1.

 

Setting email schedule is only available to custom reports in QuickBooks Online. For now, you can only send management reports manually by selecting the Send option from the Reports section.

I set up the A/R Aging report to email out daily and checked to send in Excel format.

It is arriving as HTML

Generally, if you select and attach the report as an Excel file, it should send in the same format. Let's figure out if this is a browser issue.

 

First, sign in to your QuickBooks account using a private window. Here's how depending on your browser:

 

  • Google Chrome: Ctrl + Shift + N.
  • Mozilla Firefox: Ctrl + Shift + P.
  • Internet Explorer: Ctrl + Shift + P.
  • Safari: Command + Shift + N.

Send the report again and be sure to select the Attach the report as an Excel file checkbox. If this works, you can go back to your regular browser and clear your cache

 

If you get the same result while using incognito, I recommend using another supported and up-to-date browser

Can files be exported as a .csv (or other delimited file) instead of Excel?

You'll want to export your file through Excel file, then change the file type as a CSV files.

 

Here's how:

 

  1. Select Reports.
  2. Search for and select the report you want to export.
  3. At the top of the report, select the Export icon. Then select Export to Excel.
  4. Click the Save as button and save the file you can easily find.
  5. Click the down arrow next to the  Save as type button then select  CSV file format from the drop-down list.
  6. Hit Save.

You can create custom reports to get the data that matters to you most. It also contains a short video for reference, steps to run a report, as well as a list of sections on report you can customize.

 Why do the automated reports go out at 4am???  I need this to change as we are getting complaints on this from customers.  I need to change the time on when reports are automatically sent out.

I appreciate you for reaching out to us here in the Community. Let me share some clarification about the scheduled reports in QuickBooks Online.

 

Currently, an option to set the time for reports is unavailable. As of now, you can only make changes to the dates that the report will automatically send.

 

Though, it would be beneficial to have the ability to change the time in QuickBooks, too. Our engineers might be working to bring this feature over to this platform in the future. You can check our QuickBooks Blog for product updates. 

 

While we assess this feature, I recommend sending feedback. There's an option you can use within your QuickBooks account.

 

Here's how:

 

  1. Log in to your account.
  2. Click the Gear icon in the upper-right corner.
  3. Select Feedback

Hello - I used to have access to this feature but no longer do. I am guessing this changed when I downgraded to the basic QBO package from the one I used to use through my bookkeeper. I continue to receive reports by email that I had set up in the past and am unable to cancel these. There are new reports I would like to automatically receive by email on a recurring basis instead.

Hi DS-FHF,

 

You’re right that the basic package, Simple Start, doesn’t have the option to set a schedule and email information for a memorized report. Therefore, you shouldn't receive an email after downgrading anymore. 

 

I recommend contacting our QBO Support about this, so they can pull up your account in a more secure environment and investigate this behavior. The steps to reach them and their office schedules are in this article: QuickBooks Online Support.
