Hello there, @naomie1. I'm here to provide information about the limitations of a user with report-only access.

In QuickBooks Online (QBO), users with reports-only access have the ability to see all reports, except for those that show payroll or contact info. They can't also open the audit log.

Users with this role can make custom reports and add report groups, but don't have access to view the actual transactions. For reference, feel free to check this article: User roles and access rights in QuickBooks Online.

To add one, below are the steps you can perform:

  1. In your QBO account, navigate to the Settings menu and select Manage users.
  2. Then, click Add user.
  3. Next, select the user type you want to create. More options will appear on the screen depending on the user type you select.
  4. Input your user’s name and email address, then click Save.

For additional guidance, visit this link: Add and manage users in QuickBooks Online.

Please let me know updates on how the steps go. I appreciate any details you can add. If you have any other questions about managing user roles in QBO, don't hesitate to post again here. I'm always ready to lend a hand to ensure your success. Have a great week and keep safe.
