Hi

 

Customer owes us an outstanding amount on an sales invoice.  Customer is also a supplier who we owe funds on purchase invoice.   Customer has asked me to take the funds owed out of the funds we owe them.  Can you take me through the steps please?

Sorry I should of added the customers account is in EUR and the supplier account is in USD

Good day to you, @ME-. I've got some steps on how you can record this transaction in QuickBooks Desktop (QBDT).

 

In QBDT, we can use a clearing account to record this as a barter transaction. Please follow the steps below to proceed:

 

  1. Let's set up a barter bank account and an account called Clearing Account.

    1. Go to the List menu, then choose Chart of Accounts.
    2. Press CTRL+N on your keyboard to create a new account.
    3. Choose Bank and hit Continue.
    4. In the Account Name field, enter Clearing Account.
    5. From the Currency, select USD. Then, click Save & Close.
       
  2. Create an invoice for the EUR customer and a bill for the USD vendor.
  3. Create two journal entries.

    1. Select Make General Journal Entries from the Company menu.
    2. Credit Accounts Receivable - EUR and debit the Clearing account (created in Step 1) for the amount of sale.
    3. In the Name field on the Accounts Receivable - EUR row, select the customer name.
    4. Tap Save & New.
    5. Create a second general entry. This time, credit Clearing Account and debit Accounts Payable for the amount of the sale.
    6. In the Name field on the Accounts Payable row, enter the vendor name that needs the bill credit created.
    7. Click Save & Close.
       
  4. Lastly, go to the Vendors menu, select Pay Bills, and apply the credit to a bill.
