Customer moved to a new company

Hello!

What are best practices when a customer moves to a new company? Do I set them up as a new customer so there are two contacts for the same customer - one at one company and one at another? Or is there a better way?

 

I have all customers set up as sub-customers under their current company - if that's important.

Hello, In Awe.

 

It depends on how you would handle the customer in the future. I'll share some scenarios with the steps and details to help you move their profile under the new company, or parent if you will. 

 

We can move the customer's existing sub-customer profile to the new company. This works best if you want to move existing entries to the new company, and handle future transactions from there. Here's how to do it: 

 

  1. Go to Sales, then the Customers tab.
  2. Open the customer's profile.
  3. Click on Edit.
  4. Scroll down, then select the new company from the Is a sub-customer drop-down menu. 
  5. Edit their new contact information if needed.
  6. Once done, click Save

 

The balances, existing transactions, and other entries from that customer will be moved to the new company. If the Bill parent customer box is checked, we will be able to receive payments under the new company. 

 

However, do you want to start the customer's profile from scratch under the new company? If that's the case, we can inactivate the old profile and create a new one. 

 

To inactivate the customer, open their profile again. Click the arrow icon beside Edit, then select Make inactive.

 

If the customer has an existing balance, the system will automatically create an adjusting entry for them. 

 

I should also point out that we would want to have a different display name for the new profile. QuickBooks won't let us create two profiles with the same display name. 

 

Simply enter something on the Customer display name field to differentiate the new profile from the old one. For example: John Doe - New
