Question

Employees can see sensitive information ie. salaries paid

We have employees (standard user) with access limited to customers and Suppliers.

They have to capture supplier bills as part of their daily work.

The problem is they have access to all expenses and can see sensitive information like salaries paid.

How do I get around this ?

Thank you

Hello @erhardreo.

Thank you for posting here in the Community. I'm here to provide some clarification about the user permissions in QuickBooks Online.

Granting limited access to Suppliers allows a user to view all expenses, as well as salaries paid. If you're using the regular version of QuickBooks Online, the option to restrict them from the specific area while being able to capture bills is unavailable.

There's an additional role called Custom user that allows users to have specific access to areas in QuickBooks. This way, you can control what they see or do.

However, please note this is available to QuickBooks Online Advanced users. For expenses, the options you can choose are All expense transactions & vendorsChecks, or Bills only.

To learn more about custom roles, check out this page: Add and manage custom roles in QuickBooks Online Advanced.

I appreciate your input on this feature. We always update the features in QuickBooks, and this preference might be available in the regular versions in the future.

As we assess this, I suggest you visit our QuickBooks Blog to stay updated with all the changes that are being made.

Also, I've attached an article you can use to know more about the specific roles that count toward the user limits in QuickBooks: User roles and access rights in QuickBooks Online.

Drop me a comment below if you have any other questions about managing QuickBooks users. I'll be more than happy to help. Wishing you a good one.
