We'll help you complete the refund process to clear the balance that you see in your customer's profile inside QuickBooks Online (QBO).

Since you already entered a refund receipt and a check inside your company file, you'll want to select the box beside the check you created when receiving payment. We'll outline the steps to get you going:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, click the + New button.
  3. Select Receive payment.
  4. Select the same customer you used for the check when recording the refund.
  5. Fill out the other fields as you see fit.
  6. In the Outstanding Transaction section, select the checkbox for the Check you created when recording the refund. A reminder, if you have automation to apply bill payments turned on, this step is done for you.
  7. Make sure the payment is equal to the open balance, then select Save and close.

An important thing to remember when recording a refund through this method is to use the Accounts Receivable in the Category column. Otherwise, you'll need to modify it and ensure it uses the Accounts Receivable before linking the refund to the customer's transaction and removing the balance in your customer's profile. For more information, please see the Refund a customer's overpayment or credit section inside this page: Record a customer refund in QuickBooks Online.

In addition, you can also check this article in case you wish to void a payment inside QBO: Void or refund customer payments in QuickBooks Online.
