Question

How do I invite time tracking users only in quickbooks essentials?

I have already turned on Time tracking in advanced accounts and setting, but when I try to the contact information for a vendor I receive an error message that says “an unexpected error occurred. Please try again later”. I have tried this many times but I continue to get the same error message. I have 5 vendors; is it possible that time tracking only users counts towards the number of quickbooks users available in essentials?

I'd be glad to assist you in adding users to your account, @khaida.

In QuickBooks Essentials, you can add as many vendors you like since they're non-billable users. In your case, let's try to check if this is a browser-related issue. First, you'll have to use an incognito browser and try adding your vendors for time tracking.

If you're able to add them without an error, you can go back to your regular browser and clear the cache. This is done to avoid getting errors when you're using a regular browser. An alternative way is to use another browser.

Here are the keyboard shortcuts to access an incognito browser:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox or Microsoft Edge: Ctrl + Shift + P
  • Safari: Hold down Command + Shift + N

To add a user for time tracking, here's how: (I added some screenshots too).

  1. Go to the Gear icon and select Manage users.
  2. Click the Add user button, then click on the Time tracking only option and click Next.

  3. Locate the name of the vendor by clicking the drop-down icon in the box.

  4. Enter the vendor's name and email address.

  5. Verify the details and click Save.

Now you can tell your vendor to accept the invitation so that they enter hours in a timesheet. The status of the invitation will change its status to Active after they've accepted it. Here's how it looks like:

For more information about the types of users, you can check out this article: User types in QuickBooks Online. This also includes the limitations of each user.

To track the activities made by the users, you can check the Audit Log tool for that. You can check the steps on how to access and manage the tool in this article: Use the audit log in QuickBooks Online.

I'll be here if you have any concerns. Stay safe and have a good one.
