It’s nice to see you in the Community, 9263.

I’m glad to know you’re considering switching from QuickBooks Desktop to the online version. Let me provide some information about adding a user to QuickBooks Online.

The Manage users feature in QuickBooks Online Advanced allows you to set up a user that can perform the action mentioned above without access to any reports. I’ll help and guide you through the steps.

  1. In QBO, go to the Gear icon in the upper right and choose Manage users under Your Company.
  2. Click the Add user menu to open the Select user type page.
  3. Tick the box for the Custom user and press the Next button to continue.
  4. On the Add a new user page, navigate to the Sales section and tick the boxes for the specific task you wish the employee to perform.
  5. Press Next and enter the worker’s information in the field boxes.
  6. Tap the Save button.

Here’s an article that provides more in-depth information about this process: Add and manage custom roles in QuickBooks Online Advanced. It includes instructions on how to manage a user role, status, etc.

However, if you’re using a different QBO version, the option mentioned above is currently unavailable. Check the following guide for more details: Add and manage users.

Additionally, this reference contains topics on the tasks you can do in the online program. From there, you’ll learn how to handle payroll, taxes, banking, and other accounting-related activities.

Stay in touch if you still have questions about adding a user or managing user permissions. I’m more than happy to lend a helping hand. Enjoy your day.
