Question

I want to upload a chart of accounts and merge bank transactions I have already assigned to default QB accounts. Can I delete everything and then upload the chart of accounts?

Thanks for checking in with us, Harvey Cat.

We make an account inactive and this essentially deletes it. QuickBooks Online (QBO) hides inactive accounts from lists and menus but keeps past transactions on your reports. If you make an account with a balance inactive, the program will create a journal entry. This moves the remaining balance to another account and your existing transactions don't disappear. Then, they will stay on your financial reports. Here's how:

  1. Go to the Gear icon on the top menu.
  2. Select Chart of accounts.
  3. Find the account you want to delete.
  4. Tap the Action dropdown and select Make inactive.

To learn more about this one, check out this article: Delete an account on your chart of accounts in QuickBooks Online. To delete the bank transactions that were already added to the register, just follow the steps below:

  1. Go to the Accounting menu at the left panel and choose Chart of Accounts.
  2. Find and select the register you want to review.
  3. Click View register in the Actions column.
  4. Tap the Filter icon. Then select the filters you want you to apply. You can use the Find field to search by amount, reference number, or memo.
  5. Hit Apply.
  6. Find the transactions and click them to expand the page.
  7. Choose Delete.

For downloaded entries, use the Exclude feature to directly remove them. This lets you bring out the bank data by batch. Here’s an article that will walk you through the process: Exclude a bank transaction you downloaded into QuickBooks Online. Once done,  import your chart of accounts to QBO by following the detailed steps in this article: Import your chart of accounts to QuickBooks Online.

If you're about to reconcile your account, I recommend reading our reconciliation guide to ensure your register is accurate.
