Hello just_20,

Yes, inviting an accountant is free in QuickBooks Online. We can add up to two accountants in Simple Start, Essentials, and Plus plans. Meanwhile, three accountants can be added in Advanced plan. You can use this link for reference: How many users can I set up?.

Here's how to invite them to your company:

  1. Click the Gear icon in the upper-right corner and select Manage Users.
  2. Go to the Accounting firms tab.
  3. Enter the accountant's email address and click the Invite button.

They'll receive an email invitation with instructions on how to accept it. They won't pay any charges after accepting the invitation.

This link might be helpful if in case your accountant didn't receive your email invitation: What to do if invited users did not receive your email invitation.

We'll get back to your if you require more assistance in inviting other users.

Hi-

Can I invite an accountant from a QBO account that is no longer active?  The QBO account belongs to a company that is out of business and they stopped paying for their QBO subscription.  They need to file their taxes.

Thanks,

Julie

Thanks for joining the thread, @Julie100.

We're unable to invite an accountant using an inactive QuickBooks Online (QBO) account. Thus, you'll want to consider resubscribing so you can do this task. For the details on how to achieve this, please check out this article: How to resubscribe QBO subscription?.

Also, once your QBO account is canceled, you'll have read-only access to your data for a year: What happens when I cancel my QBO subscription?. If you have canceled your QBO Payroll subscription, you're still able to access your data for six months after the end of the tax year in which it was collected. However, you're not able to run payroll or create paychecks, or file and pay taxes electronically within QuickBooks Online.

You'll want to know the number of accounting firms you can add depending on your QBO subscription type. I'll be including  this article for more information about this: How many users can I set up in QBO?. This way, you'll be able to manage the accountant access in your QBO account. Here's an article that you can refer to: How to manage accountant users in QBO?. It contains the steps on how to invite and remove an accountant so you can have control who can access your company files.

I'll be here in the Community to lend a hand if you need more help or have questions about managing your accounts in QBO. Stay safe.

Hey there, @loridiv

Thanks for following the thread. I'm happy to help you remove an accountant.

If you don't want your accountant to have access to your books anymore, don't sweat, removing them is easy as 1,2,3. I've included the steps to remove an accountant below.

  1. Sign in to QuickBooks Online as a master admin.
  2. Go to the Gear Icon and choose Manage Users.
  3. Click on the Accounting firms tab.
  4. Locate the accountant you want to remove.
  5. Select the small arrow dropdown in the Action column and then Delete.
  6. Hit Delete to confirm.

You can see more details in Invite or remove accountants from QuickBooks Online

That's all there is to it! Let me know if there is anything else that I can do for you. Feel free to reach out to the Community any time you need a helping hand. Take care and enjoy the rest of your day!

I appreciate you replying to this thread and bringing your concern to our attention, roch. I can see that you and your accountant are having trouble inviting them to manage your company file.

Did you try the recommendations above? If not, allow me to lead the way.

You can invite your accountant by ensuring you're on the Business view by reviewing the bottom right corner of the Gear icon. After this, resend the invite to your accountant.

Once your accountant encounters the same problem, let them access the invite through a private browser. Here are the keyboard shortcut keys by browser type:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N

If they can successfully access the invite and your company file, kindly let them clear their regular browser's cache and cookies. This procedure cleanses excessive data build-up, helping the system recover its full functionality. They can also consider using another supported browser if they get the same result.

For more information about handling the invitation issues, you and the accountant can check this link: What to do if you can't accept client invites in QuickBooks Online Accountant.

Nevertheless, please reconnect with our Support Team again so they can re-investigate this matter thoroughly if the issue persists.

I've also added this article for future use about transferring primary access to another user of your QuickBooks company: Change the primary admin user in QuickBooks Online.

Your questions and concerns are our main priority. Kindly reply to this thread if you require additional assistance inviting an accountant or other users into your QuickBooks company. I'll be more than happy to assist you again.
