I'd be glad to share some information, jcrkcwlmommy.

When your bank/credit card is connected to online banking or payments are processed with QuickBooks Payments, you don’t need to use the Undeposited Funds account because there’s already a complete record. What you can do is categorize your downloaded transactions.

In case you need to combine payments processed outside of QuickBooks Payments, you will need to record the receive payment.and deposit it to the Undeposited Funds account.

For Invoice payments processed outside of QuickBooks, you can follow these steps:

  1. Go to + New > Receive Payment.
  2. Select the customer from the Customer drop-down menu.
  3. Put a checkbox on the invoice you’re receiving payments for.
  4. From the Deposit to drop-down menu, select Undeposited Funds.
  5. Fill out the rest of the form and click Save and Close.

Here's a sample screenshot for a visual guide:

Once done, you can record a bank deposit and combine the payments in QuickBooks.

I'm adding this article for reference: Deposit payments into the Undeposited Funds account in QuickBooks Online.

If you have additional questions about the Undeposited Funds account, please feel free to tag my name in the comments below. I'll get back to you as soon as I can. Thanks.
