Question

Is there a way to clear out old Unbilled transactions? I am currently cleaning up 2 years worth of transactions on the Unbilled Charges Report; clicking one at a time.

I only want to clear out old transactions that are showing in the individual Unbilled reporting.

Welcome to the Community space, @tswanson

 

Currently, clearing the unbilled transactions at once is unavailable in QuickBooks Online (QBO). However, you can click them one at a time in the Unbilled Charge report. Then untick the Billable (hr) and Delete them manually.


 

 

 Or convert them to invoices and delete them at once. Here's how:

 

  1. Go to Sales, then select Customers.
  2. Click the dropdown icon of the Type field and select Unbilled Income from the Transaction List section.
  3. Then, click the Convert to invoice for each unbilled charge.
  4. After that, pick the Save and Close tab.
  5. Perform this for all of your customers who have unbilled charges.
  6. Once done, go to the Invoices tab.
  7. Change the Status to Unpaid and modify the Date where the unbilled charges are dated.
  8. Tick the box of each invoice. Then, click Batch Actions and select Delete.
  9. Select Delete from the prompt message.

 

In the meantime, I recommend suggest sending feedback to our product engineers. They can use this as a reference to enhance the existing features and create new ones to improve your experience.

Honestly, no, this did not help.  I am already having to click one transaction at a time, which really means 4-5 clicks with a delay between each to clear one transactions.  I pay way to much $$ for this subscription to continue getting subpar options and still can't confidently say I trust the reporting and details for my jobs.  This needs to be addressed by the programmers and start helping the consumer better utilize our time and energy keeping up with our business rather than reworking a delayed and broken process.  I wish I had never moved over from the desktop version.  I at least trusted the data and could toggle between screens.

In the meantime, you can consider following this workaround to hide unbilled expenses and mark them as closed without having to create an invoice.

  1. Sign in to your company and go to any page.
  2. Change the URL in the address bar to qbo.intuit.com/app/managebillableexpense.
  3. Enter the appropriate date, then Save.

Yes, there is, and it is magical.  In QBO, change the URL to qbo.intuit.com/app/managebillableexpense.  Then put today's date, and click save.  Problem solved.
