Question

Is there any way to revert my account back to the way it was a few days ago? I messed things up so badly and I can't figure out how to fix it. I want to undo it all!

I was reconciling my accounts and everything was great. There are some old transactions that always show up on the reconciliation screen that never need to be there. I think they are old duplicate transactions or something. They never need to be selected in reconciliation so I thought I'd delete them to make things look cleaner... I do a lot of transfers between accounts though and when I deleted those transactions it threw off my beginning balance in another account. I've tried re-adding all the transactions that show as missing on the "We can help you fix it" audit thing, and I'm just getting more confused and I'm afraid I'm making everything worse. I don't currently have an accountant to help me. Is there a way to just go back in time?? Or does anyone have other suggestions? I haven't found a Help article that exactly seems to apply.

Hello there, @slpsara87. 

 

Currently, there isn't a way to revert your bank account the way it was a few days ago. Alternatively, you can manually undo or unreconcile your transactions one at a time. This way, you'll minimize impacts on your bank balances. 

 

I acknowledge that you currently do not have an accountant. However, if you find yourself needing to start fresh or require professional assistance, I recommend considering the option of reaching out to an accountant. They can undo the entire period at once using QuickBooks Online Accountant.

 

Here's how to invite your accountant if ever you already have one:

  1. Click the Gear icon in the upper-right corner, and select Manage Users.
  2. Go to the Accounting firms tab, and click the Invite button.
  3. Enter the accountant's information.
  4. Click Save.
  5. Let your accountant undo the entire reconciliation.

 

If you prefer to do it by yourself, follow these instructions to undo reconciled transactions one at a time:

 

  1. Go to the Accounting menu. Then select Chart of Accounts.
  2. Find the account and select View register. 
  3. To help you focus on this task, filter the register to only include the last 60 days of transactions.
  4. Review the check column. If the transaction is reconciled, you’ll see an “R.”
  5. Select the box and keep clicking it until it's blank. It removes the transaction from the reconciliation.
  6. Select Save. Then close your register.

 

 

After completing the recommended steps, you can proceed with reconciling your account once again. It's also advisable to have your bank statement readily available, as this will allow you to compare each transaction with the entries made in QuickBooks.

Thanks for your quick response.  I don't know that this will solve my problem though...  The transactions I deleted were old.  There were only a handful- maybe 10 or so- but some as far back as 2021.  I didn't think they had ever been reconciled, since they were always unchecked on my reconciliation screen.  For example, I was reconciling August 2023 and there were all these unchecked transactions from periods that were reconciled a long time ago.  It's those transactions that I deleted, as I thought that meant they were errors and could be deleted.  I don't think I need to unreconcile any transactions, because the problem was caused by deleting transactions.  Does any of this make sense?  I'm so confused by it that I doubt I'm explaining it well!

Unfortunately, it is not possible to undo a deleted transaction. However, we can still retrieve the details from the Audit Log and manually recreate the transaction based on that information.

 

To access the Audit Log in QuickBooks Online and retrieve information about a deleted transaction, follow these steps:

 

  1. Go to Settings ⚙.
  2. Select Audit Log.
  3. From the Filter ▼ dropdown menu, choose the appropriate user, date, and event(s) to narrow the search.
  4. Select Apply.
  5. Locate the deleted transaction. You can use the browser search function (Ctrl + F) and type "deleted" to quickly find it.
  6. Under the History column, click on View.
  7. All the necessary information for the transaction can be found under the Event column.
  8. Utilizing the details from the Audit Log, you can re-enter the transaction with its original transaction date.

 

Then, the audit log shows 150 records at a time. For most transactions or events, click View in the History column to open the audit history. This tells you who made the change and what they did.

 

Once you have verified that the transactions have been unreconciled, you can manually reconcile them on the Register page. You can follow the steps shared by my colleague.

 

If you find yourself in a situation where you need to start over completely, it is advisable to contact your accountant. They can undo entire reconciliations.
