Logging into client QB Desktop 2024 without client Intuit ID pw

Greetings,

I have a client that has newly installed QB Desktop Premier 2024 on a laptop. No data has been entered into it yet nor has the setup been done yet.  We are helping them to migrate their current data from QB Online to this QB Desktop.  What I am not sure about is how we as a CPA firm should approach being a User for their QB Desktop program.  We will either have access to their computer via remote access, send us accountants copy or let us borrow their laptop for a short time.  Since this is their software, I assume we will enter their email address as the Admin contact.  But how to manage when the software needs us to do that 2-factor authentication where it texts or emails the Admin?  We don't want to have to bother the client with that every time we log in to their system.  So would we as the CPA firm have our own separate user name for the software?  How does it work? Can this data be accessed any other way (ie. through our own CPA firm's intuit accounts)?  I am trying not to overthink this and reinvent the wheel.

If this doesn't work for you guys, I recommend speaking with your client's about what they'd like you to do.

Thanks for your reply.  On those times where we need to log into their computer (either in person or via remote connection), I'm concerned about having to deal with the Intuit 2-factor authentication where the client gets a text or email that they have to respond to right away.  It's just not realistic or desirable (I don't want to bug them every time we need to log into their Quickbooks program).  Should we have our own user name in their Quickbooks program?  I hope that makes sense.  I've just had the experience sometimes where I'm using a client's QB and it will ask me to log into their Intuit account in order to access QB desktop (and sometimes logging into the Intuit account requires the 2-factor fun, so how to avoid this, unless it goes to my own email or cell phone?).  I appreciate your time!!! 🙂

If you don't have QB Desktop 2024 Pro/Premier/Accountant, you can use the trial version of QB Desktop 2024 Enterprise to restore their backup file and convert it to QBO. You can use the trial version for good if required. You don't need bother to use your client's license or 2FA issues.
