We provide QB Online services for a number of clients.  When we take on a new client we ask them to invite us as accountants so we can access their data.  An issue occurs when we have turnover and the original staff member leaves.  We then have to ask the clients to add another new user.  So here is my question.  Can we have a master user name with ONE login so we do not have to bother the clients when we have turnover?  That username would be tied to a generic email address that would be monitored.  Are there any other ideas if this would not work?

It's nice to have you in the Community, @JBrown7. I’ll be glad to assist you in sorting out this issue about managing users in QuickBooks Online.

 

You can change the primary admin role to the existing QBO user.

 

Here’s how:

  1. Sign in to QuickBooks Online as the current primary admin.
  2. Select Settings.
  3. Select Manage users.
  4. Find the user you want to make the primary admin.
  5. In the Role column, make sure they are listed as Admin. If they’re not, select Edit to change their role to admin.
  6. Select the small arrow ▼ in the Action section. Then, select Make primary admin.
  7. For security, we send a verification code to the phone number or email on file for your account. When you receive the verification code, enter it and select Continue.
  8. Select Make primary admin again to confirm the change.
  9. Sign out of QuickBooks.

However, you can only have one primary admin per subscription in QBO.
