Missing accounts

In the past few days several of my commonly used accounts have disappeared from my chart of accounts. I try to use one of them by typing it in the account box as I add a transaction, and get a message that no such account exists and I should set it up. Have I hidden these somewhere or is there another solution. Several were missing last week and more have disappeared today.

We can check if the accounts were inactive or utilize the verify and rebuild tools if this issue is due to damaged data, Alyhuz. I’d be happy to guide you through the process.

 

First, it's possible that these accounts may have been accidentally marked as inactive. To check this, let's review your Chart of Accounts:

 

  1. Open the Chart of Accounts by pressing Ctrl+A in QuickBooks Desktop.
  2. At the bottom, check the box labeled Include inactive.
  3. If you find the missing accounts, click the X icon next to them to reactivate.

 

If the accounts are not inactive, we can move on to the next step by using the Verify Data and Rebuild Data tools, as missing accounts might indicate some data damage.

 

Step 1: Verify Your Company Data:

 

  1. Go to the Window menu and select Close All.
  2. Next, head to the File menu and click on Utilities.
  3. Select Verify Data. If you see:
    1. If QuickBooks finds no issues, your data is intact, and there's nothing more to do.
    2. If an error message appears, search for it on the QuickBooks Desktop support site for guidance on resolving it.
    3. If it shows that your data has lost its integrity, it means the data has been damaged, and you should move forward with rebuilding it.

 

Once done, we can now rebuild your company file:

 

  1. Go to File, Utilities, and then select Rebuild Data.
  2. QuickBooks will ask you to create a backup before rebuilding your data, select OK, then choose a location to save the backup. (Tip: Avoid overwriting an existing backup).
  3. Choose where you want to save your backup, then OK. Don’t replace another backup file. Enter a new name in the File name and select Save.
  4. Click OK when you get the message Rebuild has completed.
  5. Go to File, click Utilities, then select Verify Data again to check for additional damage.
    1. If the verification finds more damage, you have to fix it manually. Look for the error(s) in the qbwin.log on the QuickBooks Desktop support site to find out how to fix it.
    2. You can restore a recent backup if your error can't be found. Go to File, then choose Open or Restore Company.
    3. Note: Don’t replace your existing company file. You’ll need to enter the info into your company file again since the backup was created.
