Missing Invoice Templates

Hi, so I am new at my company and I do not have access to the Invoice Templates for email when sending Invoices. The default invoice template is populating and I can edit it, but there is no drop down to change the template (as there is for my coworkers).

I did try the "email later" work around (to no avail) and everything looks good in the edit-preferences-send forms-company preferences.

Thanks for any insight.

So after a frustrating couple of weeks (multiple calls and posts here) I figured it out. What needed to be changed were the settings for email in "My Preferences"

All I needed to do was switch to Web Mail from the default Quickbooks Email. Once I verified my email address through my browser all the templates are available.

I'm here to sort this out, River444.

One of the possible reasons you can't access the template is user permission.

The invoice template can only be accessed by all users if they have permission from the admin user. You can ask the admin to have access to change templates.

Here's how:

  1. Click  Company menu, then Users, and hit Intuit Account User Management.
  2. From the Users tab, select Add user.
  3. Enter the User’s name and User’s email, choose the role from Available roles, then click Add.
  4. Hit Add user.
  5. Select OK.

Once done, you can check this article for additional information in sending invoice temple: Sending invoice template.

This is not working for me. The only person who can access the templates is the person who created them.

Thanks for updating us here, @River444. It could be that your admin assigned you a Basic User role which does not grant permission to edit the template.

You can share this article with your admin to help create and manage roles in QuickBooks Desktop.

For future reference, feel free to browse this topic and learn more about managing form templates to control and achieve the details you need to include: Use and customize form templates.
