Question

Quickbooks online add lines to invoices but missing account connections

In quickbooks online, in an invoice, there seems to be no connection to an account per line like there was in Desktop. (I have copied from a prior invoice), There is no connection in a NEW template either. How do I connect "widget A" to an account for "Widget A" so I can get a report at year end?

I am very new to quickbooks online.  The helpdesk phone number connected to someone for 2 hrs and he had no clue. Pretty basic stuff here! Thanks!

As a fellow QuickBooks user, I understand the importance of providing reliable support for your daily tasks, Lisa. I'm here to assist you in any way I can to resolve it.

Before we begin, can you please clarify if you're referring to income accounts for each item added on your invoices? If so, you can assign an account to each item by going to the Products and Services tab in QBO.

When you're setting up an item in QuickBooks Online (QBO), you need to select the specific account that corresponds to that item. Once you've done this, that account will automatically link to the item every time you add it to an invoice. Just keep in mind that when you create the invoice, only the items will be visible, not the accounts connected to them. This setup helps keep everything organized in your invoice.

To check if you've linked the correct account for each item, you can go to the Products and Services tab, look for the items and verify your account selection.

Here's how you can check each item or modify if needed:

  1. Go to Sales and click Product and Services.
  2. Find the item and click Edit.
  3. Select the Income account dropdown, then choose the account you want to use.
  4. If the account isn't visible, ensure that its detail type is set as Sales of Product Income.
  5. Once done, click on Save and Close.

Additionally, you can also run a Transaction Detail Account report to see all the invoices recorded and filter your report from the Transaction type to Invoice.

Moreover, I'll share this article in case you want to export your reports, lists, and other data from QBO: Export your QuickBooks Online data.
