Question

Recently Quickbooks Online is combining my Income categories into one category called "services" on my profit and loss reports. How do I change this?

I want my different income categories like Labor, Parts, Other to be listed on my profit and loss, not combined into one category called Services.  It did not used to do this. Seems like QB Online did an update of some sort.

Hi there, wadesmufflerandb. I got here a set of steps to help you fix the categories of your income in the Profit and Loss report.

 

To start, let's verify that the Labor, Parts, and Other categories are not assigned as a sub-account of the Services category. This might be the reason that QuickBooks Online (QBO) combines all income under Services. To do so, refer to these steps:

 

  1. To start, switch your account view to Business view.
  2. Once done, select the Accounting menu and choose Charts of Accounts
  3. From there, locate the LaborParts, and Other categories.
  4. Click the dropdown arrow beside the Run report option and choose Edit.
  5. Once opened, check if the Is sub-account box is checked and see if the Services is added. 
  6. Uncheck this to correct it and select Save and Close. 

 

After that, let's now check the account selected in the Income account field of the items you use for each transaction. Might be that it is defaulted to Services that's why you see all the income in this category. Here's how:

 

  1. Go to the Reports menu and scroll down to the Business overview section and click Profit and Loss.
  2. Select it to open and set the correct date range in the Report period field. 
  3. Once done, locate the Services category and select the amount to open the transactions associated with it.
  4. This will open the Transaction Report. From there, you can customize the report to add a column for Product/Service to easily check the items.
  5. Take note of that specific items and go to the Sales menu.
  6. Next, click Products and Services.
  7. Locate the item and select the Edit button.
  8. Scroll down to the Income account field and check the category/account assigned.
  9. Make sure that it is assigned to the categories you want. Example: Labor, Parts, Other. When done, select Save and Close.

Thanks for all the information.  This is what I discovered.  Quickbooks has apparently made a change on Products and Services where you have to decide whether your Product/Service is a Non-Inventory item, a Service, or a Bundle.   When QB did this it linked all my Products/Services to an Income category named Service.  All of my previously setup income categories like Labor, Parts, etc. are deleted from my charts of accounts...  Why? I don't know.  I know these used to exist because I have old print outs of my P&L and they were correctly categorized under Income.   

 

I recreated my income categories and changed them appropriately on the drop-down under each item, but now only my new sales are coming up categorized correctly.  All my historical sales still group under Services, regardless of whether I'm looking at a P&L Summary or detailed report.   I assume the only way to get everything correctly categorized is manually, and I don't want to go through years of transactions to try and clean this up.
