Question

User roles with credit cards

Hi,

Does anyone know how I would change the role for admin (I am the admin). I want to change the area under "Customers and Receivables" > "View Credit Card Numbers".  I would like to make this not accessible so the credit card numbers cannot be seen by anyone.  The response I get is "The Administrator role cannot be edited".

If I cannot edit this area, how do I mask the credit cards under the admin sign in?

Thanks!

Thanks for coming here with your concern, @PattiMet.

I've also been a customer, and I can see the importance of keeping credit card information private in QuickBooks Desktop (QBDT). No need to worry, I'm here to help you protect them against people who can use them for fraud or identity theft.

Unfortunately, we're unable to change the permissions for an admin. It's because a user with administrator privileges has more capabilities than ordinary users. They have access to all features and functions in QBDT to perform greater tasks.

Moreover, the option to hide a customer's credit card information under admin sign-in is currently unavailable in QBDT. In the meantime, I suggest sharing this brilliant idea with our product engineers. This way, they might include this feature in our future product updates. Here's how:

  1. On your QBDT, go to the Help menu.
  2. Click Send Feedback Online and click Product suggestions.
  3. Select a Product Area.
  4. Enter your suggestion and click Send Feedback.

However, we can hide the credit card number from someone who isn't an admin by going to Company and clicking Customer Credit Card Protection.

Per company file, only one admin is allowed. However, you can include a second administrator if necessary. To do that, you can refer to this article: Transfer the primary admin role in QuickBooks Desktop

Keep me updated if you have additional concerns about changing user roles in QBDT. We'll make sure to address each of them. Have a nice day!
