Question

We recently upgraded to QB online. The desktop version we had had a setting that detected duplicate transaction numbers. How can I get this setting in QB online for bills

We have suppliers that send their invoices by email AND snail mail which can cause confusion.

Thank you for upgrading to QuickBooks Online (QBO) and it's my pleasure to help you today, hr-legacyfoodsmf.

In QuickBooks Online, you can set the system to warn you if a duplicate bill and check number is used for a vendor. I'm glad to guide you through the steps.

  1. Go to the Gear icon.
  2. Select Account and Settings under Your Company.
  3. Go to the Advanced tab.
  4. Click on Other preferences.
  5. Put a check-mark on Warn if duplicate check number is used and Warn if duplicate bill number is used.
  6. Click Save and click Done.
  7. You'll be warned if you enter duplicate transaction numbers on your next entries.

For previous records, you can manually find duplicate transaction numbers and modify them when needed.

You can also use the magnifying glass to locate specific transactions. Check out this link: How to search for transactions in QuickBooks Online. It provides instructions and detailed steps to guide you through the process.

You can also take a tour on this link: Learn about QuickBooks Online with how-to videos. Each topic has corresponding video tutorials to help you get started with QBO.

Let me know if there's anything else you need about duplicate transaction numbers. I'll be right here to help you.
