What happens when your subscription expires

In December 2020, I bought a one-year license to Quickbooks Windows desktop.  What happens this December when my subscription expires; will I simply be "locked out" until I renew my license or will I simply be unable to receive updates?

Best answer by Rubielyn_J

I'd be glad to provide you some idea of what will happen to your QuickBooks Desktop if you don't renew your subscription, @TheProuddad.

You can still access the file even if you'll not restore your subscription. But you'll be unable to continue receiving the security updates and online services, such as the following:

  • QuickBooks Desktop Payroll Services
  • Live Support
  • Online Backup
  • Online Banking

It only means that you can only use the software for manual tracking and keeping your company data. Here's an article you can read for more insights: QuickBooks Desktop service discontinuation policy and upgrade information.

In addition, you can check out this resource that provides detailed information about QuickBooks Desktop cancelation policies: QuickBooks Desktop cancelation policies.

Keep me posted by leaving a reply to this thread if you have more questions or concerns about managing your subscription. I'll get back to you as soon as possible. Stay safe and take care.

Uh, I was told by Quickbook's support that should I not renew my subscription, I will not be able to access QB's at all. That it will not open for me.

@thebear2021

If you are using QBD 2021 Pro/Premier Plus, you can still purchase a one time license of QBD 2021 Pro/Premier and cancel your Plus subscription.

@TheProuddad

Login to your CAMPS and check your license information. Had you purchased QB Desktop 2021 Pro/Premier Plus edition, system will auto renew your license and charges your credit card. You may purchase a one time license of QB Desktop 2021 or 2022 without credit card later.

Thanks for your response.  I was advised by a QB partner that I would be unable to purchase a one-pay license after the date of release of the 2022 version of Quickbooks Desktop.  So after hearing answers that conflict with each other from two experts, I'm more in the dark than when I asked the question.

Thanks for your prompt reply, TheProuddad.

Let me shed some light on this situation.

Once your subscription period ends, you will no longer be able to use or access your QuickBooks Desktop account. Your company file will remain on the device, but you'll need to re-activate the service, so you can open or view the data.

If in case you will not be renewing the subscription, you can purchase a single QuickBooks Pro license instead. This license is locally-installed and supports a single user.

I also recommend reaching out to our Sales Support Team for further assistance regarding your billing concerns. They can provide details on what you need to do after your subscription expires.

  1. In your QuickBooks Desktop program, go to Help QuickBooks Desktop Help.
  2. In the Have a Question window, click the Contact Us link at the bottom.
  3. From the Contact Us page, select any topics.
  4. Under Here's how to connect with a QuickBooks expert section, click the Start a Message or Get Phone Number button.

I'll re-share these article provided above for future reference:

I bought a new program (Desktop ProPlus 2021) and started using it on Jan. 1, 2021, 11-months ago.  Quickbooks has locked me out of my business account.  I owe nothing, but cannot look at my bank register, print invoices, access account information, customer phone numbers, etc..  Nothing!  Don't believe them that you can still access your info.  And my "subscription" doesn't expire for 3 more weeks.  I don't use any of their programming.  Just a very simple program which I've used for many years without any support.  Apparently that's the problem.  I assume if I purchase Microsoft Office I can use their programs for the cost of purchasing it.  But now Quickbooks not only charges me the program, but robs me of my personal files.  That seems illegal to me.

@denslee

Check your CAMPS and make sure when your license expiration date is. You can utilize the trial license for QBD 2021 for the time being prior to purchasing a new one time license for it later.

December 16, 2021

Those answers are incorrect.  I don't use any subscription services.  Besides I still have 3 weeks on my program.  Quickbooks basically hijacked all of my company files and locked me out of everything.  It's not a matter of using the program without payroll, or back-up,e tc.  It's that they have set the program to self-destruct when they determine it's time, not when you have documented start dates of hte program (listed in properties).  I bought a new program from a retail store, but now Quickbooks won't recognize the license or product number.  They only want companies to purchase from them at a much higher cost.  I've spent over 2 1/2 hours with customer service, and only have some of the problem resolved at this point.  I've used Quickbooks for about 15 years now but may have to switch programs.

I think it is time for a class action lawsuit.

February 8, 2023

This absolutely is a class action lawsuit waiting to happen.

Way to go Intuit. Force customers to buy your product by locking us out of our files, having your reps tell us we can’t access our info if we don’t fork over 100’$

January 13, 2022

NOT TRUE!

Mine ran out and now I can't open my company file.  I called QB.  Only was to open my records is buy a new copy and reinstall.  They are holding me hostage! Sucks

@Jeff Roberts

You can utilize the trial version for QBD 2021 to open your file.

January 13, 2022

Its worse than that, the new versions don't support 32 bit Windows which is where my accounting lives so I'll have to upgrade my computer.  That's gratitude for you, 25 years of buying their software and they hold me hostage now!

June 26, 2022

I feel it is complete extortion for a company to be able to lock you out of 20 some odd years of your personal business data when you don't renew your subscription.

June 26, 2022

AMEN!  But what agency controls big business from doing do?

June 27, 2022

To me the disturbing part is not that they can but that they are purposely misleading people. We were told, "You will still have access to your QuickBooks data even without a subscription!" This post says exactly the same thing as "SLOVED!". What "SOLVED" needs to say is, "The data will always be yours but it is only useful with a subscription to QuickBooks Desktop as you will lose all access to use the software."

Message to Intuit: A Free Read-Only mode would be a real (and less dirt bagged) solution to this. Especially for us that moved to QB online!

Intuit is trying to trick people in to a false sense of security.

September 3, 2022

I only use invoicing, pulling reports,

Nothing online.

Will this still work or do I have to go subcription

I'll provide some information about when you'll have to pay for your subscription, mgille.

With the launch of QuickBooks Desktop 2022, Intuit eliminated one-time user licenses. For now, all users will have to subscribe to an annual subscription plan, whether they use Pro, Premier, or Enterprise. If you're using the annual subscription plan, you'll have to make sure that you have an active subscription for you to use the company file.

On the other hand, for older versions of QuickBooks Desktop, we inform you in advance when they are scheduled to be discontinued. If you don't use any of the add-on services in QuickBooks Desktop 2019, your product will continue to work for you. But, you won't be able to subscribe to live technical support or any of the other Intuit services that be integrated with QuickBooks Desktop. Also, discontinued versions won't receive the latest security patches and updates.

Furthermore, once your subscription is already active, you can now connect your bank to QuickBooks. If this happens, learn how QuickBooks makes a match. I've added this article for more details: Add And Match Bank Feed Transactions In QuickBooks Desktop

You can always get back to us if you have any questions about invoicing or your subscription, We're always here to help you.

I have Quickbooks 2018. It was not a year subscription. I bought my software outright, and have been using it for my tiny business since 2018. I do not need any online services. However, now when I go to use MY software that I PAID for, Quickbooks will not let me access it without a subscription. I chose to purchase my software outright so that I would always have access to my files, as a subscription was not a good option for my company. Now, Quickbooks is quite literally holding my data hostage in order to push me into buying a very expensive software subscription.

Quickbooks has always touted itself as being small business friendly. How is extorting people and charging exuberant prices friendly to small businesses? This is not the type of company I want to support, and I will be looking into class action lawsuits, as they have stolen my personal property by cutting off my access to a software that I purchased.

@Khrys

Log in to your CAMPS and find your license status for QBD 2018. If you purchased a one-time license for QBD 2018, you can still use it for good. Unless you have purchased a new subscription license to upgrade your QBD 2018.

November 10, 2022

Incorrect. I have NEVER had a subscription for Quickbooks 2018. I never upgraded. And yet, Quickbooks is STILL blocking me access to my program. I even signed up for the online subscription just to see what would happen, and it STILL will NOT let me access my Quickbooks 2018 program. Also... wow.... your Quickbooks Online program SUCKS. Even after uploading my file, it completely changed my Chart of Accounts, and is NOT easy to fix or look at individual accounts in the Chart of Accounts. Also, it takes forever just to load the Chart of Accounts after clicking on one. I just want my Desktop software back. It was reliable before Quickbooks stole my access to my program. Quickbooks touts itself as small business friendly, but small businesses cannot afford them anymore.

Hi there, afb22.

I'd be glad to provide some information about opening your data file in QuickBooks Desktop (QBDT).

You can upgrade your file from an older to a newer version of QuickBooks but you can't use the upgraded file in the older version. For more information about the compatibility of the versions of the accountant's copy and the QBDT program, please refer to this article: Use the Accountant's Copy.

If you have a 2021 backup file, you can restore it and re-enter the transactions from there.

Furthermore, I'm adding these handy resources that can guide you in managing your company files along the way:

Feel free to post again or leave a comment if you have further questions about your QBDT subscription or anything else. I'm always here to help. Keep safe.

November 9, 2022

Dear Quickbooks - What it boils down to is the majority of your CUSTOMERS do NOT want to lose the desktop product in it's non-subscriber form. Why do you not get that and why do you keep pushing the online product when it is horrible to work with in both the payroll and normal accounting format? And people DON'T want it? Quickbooks desktop is what made you successful. It is the root of QBooks success sooo many years ago. Why eliminate the one product that the majority of your CUSTOMERS want? Do you not understand how chaotic these changes make for ALL of your desktop customers? Do you not care about your customers - but only about the $$$??

November 9, 2022

Agreed. If you switch to online, they could AT LEAST give you read only access to the desktop version.

June 7, 2024

I renewed my Quickbooks and I still cannot open it to work. What am I doing wrong?

June 7, 2024

Thanks for reaching out, @STC1969. I'll make sure you can open your QuickBooks Desktop so you can continue with your task.

Before starting, please ensure you're using the upgraded QuickBooks Desktop for everything to work as expected.

Once everything is good, let's perform some troubleshooting steps to fix this software issue using QuickBooks Tool Hub. It will resolve system glitches that prevent your QuickBooks from opening.

Follow these steps to proceed:

  1. Close your QBDT account.
  2. Download the most recent version of the QuickBooks Tool Hub and save the file somewhere you can easily find it.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install.
  5. When the installation finishes, open the Tool Hub on your Windows desktop.
  6. Select Program Problems and click Quick Fix My Program.
  7. Run the QBDT program and try to open your company file.

Feel free to read this article for complete details on troubleshooting steps if QuickBooks Desktop won't open: Fix issues when you can't open QuickBooks Desktop.

Also, you can reset your password in QuickBooks Desktop whenever you have trouble signing in to your company.

If the issue remains,  I recommend contacting the QuickBooks Desktop Support team directly. They have the necessary tools and expertise to verify your subscription status and provide personalized troubleshooting steps to get you up and running again.
