I would like to know how to put in the quota when something pays me a deposit

It's nice to have you here, canalvansw.

 

Quotes or Estimates are created manually and separately from a deposit in QuickBooks Online (QBO). Thus, putting a quota when something pays you a deposit is unavailable. You can create an Estimate and convert it to an Invoice so you can apply the credit when you receive the payment. I'd be happy to guide you through the process.

 

To create an Estimate:

 

  1. Go to the +New icon.
  2. Under Customers, choose Estimates.
  3. Fill in the necessary information. Then, click Save and close.

Once you receive a payment, you can either create a Bank deposit or use the Receive payment option. This will put the amount as a credit so you can apply them when you create the invoice. 

 

Here are the steps if you choose to create a bank deposit:

 

  1. Go to the +New icon.
  2. Under Other, choose Bank deposit.
  3. Fill in the information needed.
  4. Click Save and close.

Here are the steps if you choose to create a receive payment:

 

  1. Go to the +New icon.
  2. Under Customers, choose Receive Payment.
  3. Fill in the information needed.
  4. Click Save and close.

Here's a sample screenshot saying the payment will be saved as credit to your customer since you don't have an open invoice yet. Meaning, you haven't converted the Estimate to Invoice.

 

Now, here are the steps on how to create  an invoice when you open the quote/estimate:

 

  1. Go to the Sales menu and select All Sales.
  2. Find and open the estimate.
  3. Select Create invoice.
  4. Add more details to the invoice as necessary, then select Save and close.

 

For the report, you can pull up the Transaction List by Customer and customise it to show the customer's open balance. I'll show yo how below:

  1. On the left panel, click Reports.
  2. Type Transaction List by Customer in the search field.
  3. Choose the Report period, and then click the Customise button.
  4. Select Rows/Columns to expand, and then click the Change columns link.
  5. Put a check mark on the Open Balance box.
  6. Click Run Report.
