How do I access the bank register in quick books. I have a difference in the quick book balance (incorrect) to the bank balance (which is correct)

Hey mallainjohn,

 

It's great that you already know which amount is accurate. Keeping track of both balances in the bank feed and noticing discrepancies make reconciliations much easier. A few things could cause a difference between the two amounts, even after all transactions in For Review have been added or matched. It's a good habit to look into it, and I'll be happy to help you sort this out.

 

You seem to have a pretty good understanding of them so far, but I'd like to briefly go over what the two different balances mean. The Bank Balance is pulled when you update your bank feeds. It's provided by your financial institution at the time or date specified with Updated on. The In QuickBooks Balance is calculated based on all transactions currently recorded in your books. It consists of transactions created manually, as well as ones added from the bank feed (so it's normal for it to vary as you Add transactions). 

 

There are a few ways to make it to the bank register, you can reach it from the banking tab in a few easy steps:

  1. Select Banking on the left, then select the bank account in question.
  2. On the right hand side, click on Go to Account history (below the Add account button).
  3. (Optional) Click on any column headers to sort.

You'll notice a column with a check mark in the header. Transactions with green rectangles in this field are linked to a bank feed transaction, and typically do not cause a difference unless they're duplicates or improperly matched. It's normal for transactions that haven't been posted by your bank yet to appear without these rectangles (these transactions will usually cause a difference). 

 

The best way to make sure your bank accounts balance is to reconcile. By reconciling, you'll be able to pinpoint any transactions causing the difference, and determine how to address them. Here's a great article to help you get started: Reconcile an account in QuickBooks Online
