I do not have the option on my QBO to print archived payroll forms. Why?

I'm determined to help of your missing print option for archived forms, Tracy.

So far, we haven't received any reports of users not being able to print their archived forms. For now, let's try opening your account in a private (incognito) window. Using a safe browser and accessing the program from there can usually fix the issue. To do so:

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + P
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

We can also open the archived forms and then press Ctrl + P on your keyboard. That'll automatically route you to the print window page. The same option when clicking the print icon.

If it works, please clear the cache on your browser to delete some outdated files. Otherwise, we can try using other supported browsers to be thorough.

Here's an extra link that can help you out with printing issues:

Also, there are reports to view important payroll information about your business and employees. To learn more about these reports and how to access them, I've attached this article: Run payroll reports in QuickBooks Online Payroll.

Let me know if this helps. I want to make sure that you're able to print archived forms. I'll be waiting for your response.

I archived employee copies of w-2's but now I want to change the company address on the W-2's before I submit to IRS. How do I un-archive the forms so I can send to employee's with correct address?

I'll ensure you can undo the archived form, sullivandeb. I've got you.

In QuickBooks Online (QBO), you can undo the archived form by clicking the Delete option. I'll gladly show you how:

  1. From the Taxes menu, select Payroll Tax.
  2. Select View Archived Forms in the Annual Forms section.
  3. Choose the correct form.
  4. Click Delete.
  5. Once done, it'll go back to your filing due.

If the option isn't available, I'd recommend contacting our QuickBooks Support Team. They have tools to help undo the form. Here's how:

  1. Go to the (?) Help icon.
  2. Select Talk to a Human.
  3. Enter a short description of your concern.
  4. Click, I still need a human.
  5. Select Contact Us to connect with our live support.
  6. Choose Get a Callback.

Once done, here's how to file the form.

Additionally, I've included this article that'll help you stay informed in archiving and accessing your forms: Access Payroll Tax Forms and Tax Payments.

Let me know if you have any other payroll-related tasks or concerns about W-2. It's always my pleasure to assist you. Take care.
