Question

Automatic Payroll

Good morning,

I am trying to set up automatic payroll while I am gone for the next 3 weeks.  I had done this in 2019, while i was out of the office for 3 weeks.   The payroll ran each week without having to log in  to quick books and employees were paid.

I don't remember how I did it, and now when I enter the question, the only answer is for QB Online (with a statement that it isn't available in QB Desktop).  But it is!   I set it up in 2019.

I need to set it up again during my upcoming absence.

Thank you,

FMW

Good day to you, @ FMW.

I appreciate you for sharing the details of your concern with us. The option to automatically run your payroll isn't available in QuickBooks Desktop (QBDT). This feature is only feasible in QuickBooks Online (QBO).

As a way around, you'll need to manually enter the hours and other details when running your payroll. I'll show you how.

  1. Go to the Employees menu, click Pay Employees, and select from the check types Scheduled Payroll, Unscheduled Payroll or Termination Check.
  2. Select the appropriate schedule, and select Start Scheduled Payroll.
  3. Verify the Pay Period Ends date, Check Date, and QuickBooks Bank Account, and select the employees you want to pay.
  4. You can enter hours using the grid, or to see everyone's paycheck details, select Open Paycheck Detail.
  5. Select Save & Next to go to the next employee, or select Save & Close to go back to the Enter Payroll Information window.
  6. Select Continue, and review the Check/Direct Deposit printing options.
  7. Verify the amounts for each employee, and select Create Paychecks.

I can see having this feature can aid you in flawlessly running your business. I suggest sending your feedback to our product development team. This way, they can have a look at your suggestion and might consider adding it in the future updates. I'll show you how.

  1. Go to the Help menu.
  2. Select Send Feedback Online.
  3. Then click Product Suggestion.
  4. Enter your suggestions and details then click Send Feedback

In the meantime, you can also look for a third-party app that lets you run your payroll automatically. Simply go to the App Center or visit our QuickBooks Desktop App page for reference.

I've also added this link that can guide you on how to let your employee view their paychecks online: View your paychecks and W-2s in QuickBooks Workforce.

I'm always around if you have any other follow-up questions about setting up and running your payroll in QBDT. It's always my pleasure to help you anytime. Have a good one!
