Hi,

Employees are setup in quickbooks time and quickbooks online is used to process payroll. Employees have overtime and double time pay setup as pay types and they are applied to employees profiles. How can it be setup so overtime is automatically calculated when working over 8 hours in a day or over 40 hours in a week? How can Double Time be automatically calculated when working over 12 hours in a day? Currently hours have to be calculated manually to ensure accuracy.

Can we have two overtime rates for one employee?

Thanks

I appreciate that you've come to the Community to seek help, @JD40958.I'd be happy to assist you in setting up automatic customized overtime calculations for your employees in QuickBooks Time.

By configuring overtime settings and utilizing the Use Pay Rate Settings feature, you can ensure that overtime is automatically calculated when employees work over 8 hours in a day or over 40 hours in a week, and double time is calculated when they work over 12 hours in a day. However, please note that the specific configuration may vary depending on your payroll settings and the version of QuickBooks Online Payroll you are using.

Here's how to set up overtime customizations:

  1. Go to Company Settings, select Payroll & Overtime, then select Overtime.
  2. Select Use Pay Rate Engine, then Manage Pay Rates.
  3. Select Add Setting, and enter a name.
    • A "setting" is the name of a set of overtime rules. One or more rules can be applied to a setting.
  4. Assign team members to the setting. Each team member can be assigned to only one setting:
    • To assign it to all team members, select Default Setting.
    • To assign it to individual team members, select No team members assigned, make your selections, and select Ok.
  5. Select Add.

See this screenshot below for your visual reference.

You can enter the Setting Name and assign it either to the whole team by making it a Default Setting or allocating it to a team member by choosing No team member assigned. Then you'll have to save it.

However, please note that the specific configuration may vary depending on your payroll settings and the version of QuickBooks Online Payroll you are using. Here's a general outline of how you can set up automatic overtime calculations in QuickBooks Time and QuickBooks Online Payroll:

Regarding your question about having two overtime rates for one employee, QuickBooks Online Payroll currently supports only one overtime rate per employee. If you need to set up multiple overtime rates, you may need to consider customizing the calculations or seeking assistance from a payroll specialist or QuickBooks Online Payroll support.

I'll be sure to keep an eye out for your reply if you have any questions or concerns. Take care.
